Job description

HR Coordinator

The HR Coordinator is responsible for coordinating and supporting the Company's day-to-day Human Resources operations. Key responsibilities include recruitment and hiring activities, employee onboarding and offboarding, employee records management, payroll and benefits administration, 401(k) administration, leave administration including FMLA, OSHA recordkeeping and workplace safety documentation, workers' compensation administration, and coordination of employee and Company events. The position also assists with employee relations, training coordination, performance management processes, HR policies and procedures, and compliance with applicable employment laws and Company requirements. This role works closely with employees and management to ensure HR processes are handled accurately, timely, consistently, and confidentially. Reasonable accommodations may be made to enable qualified individuals with disabilities to perform the essential functions.

The core, essential duties and responsibilities of this position include, without limitation, the following. Other duties - essential or otherwise - may be assigned from time to time at the Company's discretion:

  • Coordinate recruitment and hiring activities, including job postings, candidate communications, interview scheduling, hiring documentation, background checks, and drug screenings.
  • Coordinate employee onboarding and offboarding processes, including completion and maintenance of required employment documents, Form I-9, E-Verify, and related records.
  • Maintain accurate and confidential employee personnel files, HR records, and employee information in the Company's HR systems.
  • Assist with payroll administration, including reviewing employee information, time records, PTO, compensation changes, deductions, and other payroll-related information.
  • Assist with the administration of employee benefit programs and employee enrollment, changes, and general benefit-related questions.
  • Assist with the administration of the Company's 401(k) plan, including employee enrollment, contribution changes, required communications, responding to routine inquiries from employees and service providers, and coordinating with the plan administrator.
  • Assist with the administration of employee leave programs, including FMLA and other applicable leaves, and maintain appropriate documentation and records.
  • Maintain OSHA-required records and workplace safety documentation, including OSHA 300, 300A, and 301 records, as applicable, and coordinate with management regarding workplace injuries and safety-related matters.
  • Assist with workers' compensation administration, including maintaining claim documentation and coordinating with employees, management, insurance carriers, and other service providers as appropriate.
  • Assist with employee relations matters and respond to routine employee questions regarding HR policies, benefits, payroll, leave, and other employment-related matters.
  • Assist with the administration of performance reviews, compensation changes, promotions, transfers, and other employee personnel actions.
  • Assist with the development, implementation, communication, and maintenance of HR policies, procedures, and employee handbook provisions.
  • Monitor and maintain HR documentation and practices to support compliance with applicable federal and state employment laws and Company policies.
  • Coordinate employee training, including required HR and safety-related training, meetings, employee engagement activities, and Company events.
  • Prepare and maintain HR reports, records, forms, correspondence, and other HR-related documentation.
  • Support HR-related internal and external audits, including 401(k) and other compliance reviews, by preparing and providing requested information and documentation.
  • Maintain confidentiality of employee, payroll, benefits, and other sensitive Company information.
  • Perform all other duties as assigned.

High School Diploma or equivalent. Minimum of 1 year of experience in Human Resources or a related administrative function. Experience handling confidential employee information and personnel records.

Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred. Experience with HRIS and payroll systems, such as ADP, preferred. Experience with recruitment, onboarding, employee benefits, 401(k) administration, employee leave administration, OSHA recordkeeping, or workers' compensation preferred.

(3) Strong written and verbal communication skills. (4) Ability to communicate professionally and effectively with employees, management, and external service providers. (5) Working knowledge of general Human Resources practices and employment-related requirements. (6) Ability to manage multiple priorities, meet deadlines, and follow through on assigned responsibilities. (7) Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint. (8) Ability to maintain accurate and organized employee records and HR documentation. (9) Strong interpersonal skills and ability to work effectively with employees at all levels of the organization. (10) Ability to exercise sound judgment, identify issues requiring management attention, and escalate matters appropriately.

No supervisory responsibility. No certificates, license, or registration required. Occasional travel may be required. The physical demands of this position are consistent with those of a general office environment. The employee is regularly required to sit, use a computer, communicate with others, and perform routine office activities. The employee may occasionally be required to stand, walk, reach, bend, and lift or carry materials weighing up to 50 pounds, including during Company events and other HR-related activities.
