Job Responsibilities

This position is located in the Warehouse/Assets & Records Management Unit, SCDMV Headquarters in Blythewood, SC.
Responsibilities of the Record & Asset Specialist I
• Responsible for the day to day overseeing and execution of administering, managing and the maintaining of the Agency's Records Management Program. This will include but not be limited to, retrieval and deliveries of all records, inputting all records storage data and deleting all destruction data, supporting the records Liaisons within the Agency, stocking of records, inventory of the records and monthly record destruction lists and pulls.
• Responsible for specific Records Management duties, under Supervision of the Agency's Records Officer these specific duties will include but not be limited to, compiling and completing monthly reconciliation reports and forms as needed for select assigned systems. Ensures all reports and forms as instructed will adhere to all guidelines set forth by The Department of Archives and History and The South Carolina Public Records Act.
• Responsible for assisting with certain daily administrative activities for the Agency's inventory control program (Asset Management) within SAP. This will include but not be limited to the daily processing of receipts, adjustments (additions, deletions and transfers, PT's/TID's), and as needed, processing system reports, creating of Asset Shells and the issuance of Asset Decals to the appropriate equipment and property.
• On an as needed bases monitors all original SCDMV records retention schedules to ensure the Agency's Records Management Program complies with State Standards and the Public Records Act.
• Assists as needed with the daily duties of Supply Management. This could consist of but not limited to receipts and release of supplies and equipment, the QC process and preparing orders for shipment.
• Performs other duties as required by the Warehouse Manager and Assistant Manager.
Minimum and Additional Requirements
Minimum Requirements
• A high school diploma and experience in records management, information systems, or office administration.
Agency Requirements
• Must complete a nationwide criminal background check to include finger printing.
Additional Requirements
• Must be able to communicate effectively and maintain a good working relationship with all divisions within the Agency and supporting Agencies, ability to assist with proper records management techniques and poses knowledge of the South Carolina Public Records Act.
• Must be able to maintain automated and manual record keeping systems, working knowledge of inventory control practices, effectively follow programs, policies, and procedures pertaining to the responsibilities of the Management of Assets and Records.
• Ability to learn and retain working knowledge of the Asset Management and Financial Modules/Roles within SAP (SCEIS).
• Must be able to work independently with minimal supervision.
• Must be able to effectively prioritize workload to meet schedules and agency-wide goals.
• Will be responsible for overseeing the work of individuals that assist as needed with duties pertaining to Records Management.
• Must be able to bend, stoop and lift over 50 pounds.
• Employee must be efficient and accurate in work habits and possess basic computer knowledge.
• Ability to drive 12ft. to 22ft. trucks and forklift / (order picker). Must have valid S.C. Driver's License.
• Employee work hours may include overtime work and limited overnight travel.
• The person in this position is authorized to operate powered industrial trucks (heavy machinery). For example: forklift, order picker, and electric pallet jack.
• The person in this position is also authorized to use manual pallet jacks, manual push/pull carts, manual hand trucks and ladders.
• Agency issued steel toe footwear must be worn in the Warehouse floor area at all times.
• The work hours for the person in this position are 8:00 to 4:30.
