Job Description: Saskatoon Community Clinic is seeking a Permanent Full-time Manager of Clinical Office Assistants (COA) and Receptionists.  The Manager is accountable for the efficient, effective provision of the reception department which includes Clinical Office Assistants and Receptionists. The Manager acts in accordance with departmental and Saskatoon Community Clinic mission, vision, policies and procedures. The Manager is expected to adhere to professional standards, Provincial Legislation and licensing requirements.  

The Manager of Reception/COA leads, manages and supervises clinical staff and support staff in the provision of high-quality patient and family-oriented services using continuous quality improvement methods and practice. The Manager is an active participant and promoter of best practice initiatives within SCC and has daily contact with other health and administrative staff within SCC.
Education

  • Office education certificate or equivalent amount of education and experience.
     

Other Education and Training

  • Two years' experience in a supervisory role.

  • Demonstrated progressively responsible leadership roles

  • Medical Terminology certificate.

  • Medical Office Assistant diploma would be considered an asset.

  • A valid Criminal Record Check will be required. 


Competencies 

  • A valid Criminal Record Check will be required. 

  • Develop and implement COA/Reception policies and procedures;

  • Lead team members to work to their full scope of practice within a supported environment of continuous quality improvement;

  • Using proven evidence-based methodologies, advance the role of team members within the organization through collaborative practice;

  • Ensure competent and appropriate staffing. This includes job description development, hiring, recruitment, training, performance evaluation, supervision, remedial actions and discipline.  A good working knowledge of the CUPE 974 collective agreement is essential.

  • Ensure efficient and effective day-to-day management of Reception/COA staff by activities such as staff scheduling, payroll, and equipment maintenance;

  • Provide support to the ongoing management of the physician roster and make adjustments to roster as appropriate; 

  • Coordinate, assign and update clinical room calendar to optimize patient and provider flow including entering data into on-call calendar; 

  • Provide coordination and support for Pomelo Health, our patient portal electronic system;

  • Participate in committees and meetings as required;

  • Work with Director of Nursing to set goals, objectives and budgets for Reception/COA staff;

  • Ensure and promote effective communication and working relationships, within the department, and other parts of the organization;

  • Order, receive, and organize supplies from purchasing; 

  • Ensure department statistical data as required is prepared and reported to the Director of Nursing;

  • Work in partnership as an effective and supportive team member across our locations; 

  • Ensure the safety of staff by complying with the Occupational Health and Safety Legislation;

  • Provide oversight of daily cash reconciliation;

  • Other duties as assigned.

  • Ability to support staff in providing culturally competent care.

  • Ability to lead and work within an interdisciplinary team.

  • Excellent verbal and written communication. 

  • Effective team building and problem solving.

  • Ability to operate office equipment in a computerized environment utilizing hardware/software currently in use i.e. Microsoft Word, Office 365, SharePoint, Teams, etc. Demonstrated proficiency in word processing, file management, spreadsheet programs, data base programs and graphic applications. 

  • Experience with electronic medical records is an asset.
