Job description

At Monterey Bay Vascular, our Vascular Surgeons set the standard in providing the best patient outcomes by administering the highest quality care through our exceptional clinical and support staff. We are seeking a qualified Front Desk Receptionist to work both remotely and onsite at our Salinas and Aptos locations. The ideal candidate will have 1-3 years experience in medical-related customer service; basic medical terminology, self-starter, that can work with a dynamic healthcare team. Experience in interventional radiology, dialysis, vascular surgery, and cath lab is a plus. Will train an ideal candidate that has commensurate experience outside of the IR, dialysis, and vascular surgery space. The ideal candidate must demonstrate an openness and willingness to learn, adapt, and contribute to process improvement.


The Front Desk Receptionist will act as the first point of contact, organizing meetings and appointments. Ordering supplies and replacements, managing mail and courier services. Additionally, will also make sure our patient's needs are met by verifying patient insurance coverage, obtaining pre-authorizations, managing referrals, working with referring providers' offices, scheduling patient appointments, and supporting patients through the administrative intake process. This is a challenging, fast-paced job with Monday to Friday schedule. Office hours Monday - Friday, 8 am to 5 pm. Our staff enjoys a great work/life balance and a highly supportive management team.

Responsibilities and Duties:

  • Be the face, voice, and front-line customer service representative for Monterey Bay Vascular.
  • Answer phone calls, and emails, take messages and take accurate and comprehensive notes at meetings.
  • Ability to interact with high profile clients and executives
  • Works daily with electronic medical records system, practice management software,
  • Verifies insurance eligibility and obtains referrals and authorizations in advance of every appointment.
  • Works closely with management and revenue cycle team to ensure accuracy across the organization for billing and coding.
  • Engages the patient to ensure accurate patient demographic information.
  • Schedules appointments to maximize patient service and optimize patient schedules.
  • Prioritizes incoming referrals and works with external physician offices to streamline communication.
  • Performs administrative support activities including answering and routing calls, correspondence, filing, faxing, and mailing.
  • Participates in community education activities and programs
  • Run professional errands as required
  • Other duties as assigned.

Experience:

  • Medical Front Desk/Customer Service: 1 year (Preferred)
  • Exceptional attention to detail
    • Proper phone etiquette
    • Exemplary organizational and time management skills
    • Able to prioritize work in a fast-paced environment, follow tasks through to completion, and ability to multi-task
    • Intermediate or higher Computer Skills
    • Bilingual Spanish is highly encouraged
