Job description

We are seeking a full-time Receptionist/administrative Assistant to support the needs of our internal staff. The ideal candidate has proven communication and organization skills and has a positive attitude and attention to detail. The ideal candidate will be able to work independently and as part of a team and will be capable of handling various projects and administrative duties.ย  Potential for promotion and room to grow!

You must be reliable, passionate, self-motivated and a team player, you must also have solid references.

Job Type: Full-time

Responsibilities:

  • Greet visitors and vendors, entering and leaving the office, notifying the appropriate party of their arrival;
  • Answer multi-line phone system, forward calls to appropriate individuals, or take detailed messages as needed;
  • Provide case updates to client callers;
  • Enter data into the computer, in both English and Spanish;
  • Physically file case documents;
  • Perform clerical duties such as filing, copying, faxing, emailing, scan in mail and case documents, etc.;
  • Draft client and case correspondence;
  • Provide interpreting and translating services (both verbal conversation and reading and translating written documents) for Spanish-speaking clients;
  • Ensure neatness of lobby and conference room areas;
  • Attend to other receptionist duties as assigned;
  • Maintain appointment diary either manually or electronically; and
  • Assist attorneys with other tasks as needed.

Qualifications:

  • High School Diploma
  • Bilingual - Spanish (read, write, and speak);
  • Excellent interpersonal, verbal and written communication skills;
  • Due to constant client contact, must be customer-service oriented and present a professional image;
  • At least 1 year of experience as a receptionist in a professional business environment; or a customer service based environment
  • Must be a motivated, self-starter and able to work effectively with all departments with limited supervision;
  • Ability to pay attention to detail, follow procedures and work effectively with others;
  • Must have computer skills in Microsoft Word and Outlook;
  • Must be punctual, with solid time-management skills;
  • High School Diploma or above
  • Ability to maintain confidential client information.
