YOUR ROLE

  • Oversee Reception: Create a welcoming, professional first impression by greeting clients, visitors, and vendors, managing check-in, directing guests to the appropriate team member, and maintaining a polished reception area. Provide a high level of service while handling client information with professionalism and discretion.
  • Client Communication: Answer, screen, and route multi-line phone calls, take accurate messages, and respond to basic client inquiries. Support the client intake process by collecting information, preparing welcome materials, and ensuring clients have a smooth experience from their first interaction with the firm.
  • Administrative Support: Keep the office running smoothly through data entry, filing, scanning, photocopying, mail distribution, package handling, and other day-to-day administrative tasks. Monitor office supply inventory and coordinate with vendors to ensure the team has what it needs.
  • Team & Operational Support: Assist accounting and administrative staff with document preparation, special projects, and other priorities as needed. Maintain a high standard of professionalism, confidentiality, accuracy, and attention to detail in every aspect of the role.

YOUR SKILLS

  • Knowledge: High school diploma or equivalent required; associate degree or relevant coursework preferred. Previous receptionist, front-desk, or administrative experience (preferably in a professional services, legal, or accounting environment). Prior experience as a Receptionist, Administrative Assistant, Executive Assistant or similar role preferred.
  • Skills: Strong organizational skills and attention to detail. Proficiency with Microsoft Office Suite (Outlook, Word, Excel) and general comfort with office technology (multi-line phones, scanners, printers). Clear, professional written and verbal communication skills. Ability to handle confidential information with integrity and discretion. Professional appearance and demeanor; reliable and punctual.
  • Schedule | Location: This is an onsite position at our office located at 450 Regency Parkway in Omaha. The schedule offers flexibility within the hours of 8:30 AM-3:00 PM, with an anticipated 25-30 hours per week.
  • Candidates must pass a background check as part of the hiring process. Performance is evaluated based on the proficiency and effectiveness of task completion, including the quality of work, application of performance, accounting knowledge, and the ability to meet time constraints.
