Job description

Purpose of Job
The Escrow Assistant I provides general office support to the assigned Escrow office. May serve as a back up to other office staff and assist with special projects, as needed.
Job Duties and Responsibilities (Essential Job Functions)
  • Perform miscellaneous opening procedures: prepare start card, proofread instructions prior to disbursing.
  • Send certified escrow instructions to lender.
  • Provide all information required to open a refinance or a resale escrow in general information.
  • Obtain "Legal and Vesting" (L&V) for title.
  • Open title search for a refinance and resale escrow.
  • Prepare and package loan escrow instructions and all documents required in borrower's opening package.
  • Package preprinted sale escrow instructions and all preprinted documents required in Seller/Buyer package.
  • Properly order demands, beneficiary statements, and homeowner association statements.
  • Accurately prepare receipts.
  • Accurately disseminate information from a given file to the appropriate party (i.e. Buyer/Seller/Buyers Agent/Sellers Agent/Lender/Title etc.)
  • Print closing statement and HUD-1.
  • Reconcile bank statements, trial balances and subsidiary A/R ledgers. Assist manager in locating errors, filling out manual reports.
  • Print checks.
  • Handles incoming phone calls, routing them to appropriate team members, and greets visitors upon arrival.
  • Perform any additional escrow assistant-related responsibilities as requested or assigned.

  • Perform responsibilities as directed achieving desired results within expected timeframes and with a high degree of quality and professionalism.
  • Establish and maintain positive and productive work relationships with all staff, customers and business partners.
  • Demonstrate the behavioral and technical competencies necessary to effectively complete job responsibilities. Take personal initiative for technical and professional development.
  • Follow the company HR Policy, the Code of Business Conduct and all subsidiary and department policies and procedures, including protecting confidential company information, attending work punctually and regularly, and following good safety practices in all activities.

Qualifications
Education:
  • High school diploma or equivalent.

Experience:
  • A minimum of one year of previous escrow receptionist experience.

Knowledge and Skills:
  • Knowledge of escrow, real estate, title and/or mortgage business helpful.
  • Ability to handle multiple line telephone console.
  • Strong personal computer skills.
  • Ability to work independently.
  • Excellent organizational skills with a focus on details to ensure accuracy.
  • Effective oral and written communication skills.
  • Effective analytical and problem-solving skills.
  • Ability to prioritize and handle multiple tasks and projects concurrently.

Other (licenses, certifications, schedule flexibility/OT, travel, etc.):
  • The position will require approval from the Department of Financial Protection and Innovation (DFPI) and EAFC (Escrow Agents Fidelity Corporation).

Wage: $24.00 - $26.00 hourly; actual wage is based upon education and experience.
