Administrative Assistant / Office Coordinator

📍 Hauppauge, NY (Long Island) | Hybrid Schedule

M&T Bank and Wilmington Trust are seeking a highly organized, professional Office Coordinator to support our Hauppauge office. This is a client-facing role responsible for reception, office operations, event coordination, and administrative support.

What You'll Do:

  • Serve as the primary point of contact for clients, visitors, and vendors

  • Greet guests and maintain a professional reception area

  • Coordinate client events, meetings, and conference room scheduling

  • Manage office supplies, facilities needs, and vendor relationships

  • Support administrative activities including calendars, presentations, correspondence, and expense tracking

  • Partner with building management to ensure smooth office operations

Education and Experience Required:
  • High School Diploma or GED

  • 1+ year of administrative, reception, office management, hospitality, or customer service experience

  • Strong Microsoft Office skills

  • Excellent communication, organization, and multitasking abilities

  • Professional presence and customer-focused mindset

  • Experience supporting a Wealth Management, Private Banking, Financial Advisory, or Trust environment highly preferred

  • Experience interacting directly with high-net-worth clients and delivering exceptional client service in a professional setting strongly preferred

Work Arrangement:

  • Must work onsite in Hauppauge, NY every Monday, Tuesday, Wednesday, and Thursday
