What will you be doing?

As the Office Manager for World Wide Technology's Washington, D.C. Innovation Center, you will oversee the day-to-day operations of the 18,500-square-foot office, ensuring a seamless and professional experience for employees, customers, partners, and executive leadership. Serving as the central point of contact for the office, you will manage visitor reception, coordinate meetings and conference room logistics, oversee office supplies and facilities, liaise with building management and corporate teams, and support office technology, security, and vendor relationships.

Working closely with Sales, Engineering, and Marketing teams, you will help foster a collaborative, welcoming workplace culture while ensuring the office operates efficiently and professionally. This role requires a highly organized, proactive individual who can manage multiple priorities, solve problems independently, and deliver exceptional service in a fast-paced environment while maintaining a positive and engaging office atmosphere.

Key Responsibilities:

  • Oversee the day-to-day operations of WWT's 18,500-square-foot Innovation Center, ensuring the office is organized, welcoming, and running efficiently.

  • Maintain clean, professional, and well-stocked common areas, including conference rooms, kitchens, supply rooms, and collaborative spaces.

  • Manage office inventory, including supplies, beverages, snacks, and other workplace essentials.

  • Coordinate mail, packages, and deliveries, ensuring timely distribution.

  • Partner with building management, Corporate Real Estate, cleaning services, maintenance vendors, and other service providers to keep the office operating at its best.

  • Schedule and coordinate facility maintenance, preventative services, and vendor visits.

  • Serve as the first point of contact for employees, customers, partners, and executive leadership, delivering a welcoming and professional experience.

  • Register daily visitors with building security and ensure guests are greeted, accommodated, and escorted to the appropriate meeting spaces.

  • Coordinate meeting logistics by managing conference room schedules, preparing meeting spaces, and arranging catering as needed.

  • Help ensure executive meetings and customer engagements run smoothly from arrival through completion.

  • Collaborate closely with Sales, Engineering, Marketing, and other business teams to support office activities and foster a positive, collaborative workplace culture.

  • Serve as the primary point of contact for WWT Corporate Security and coordinate with local building security to support office operations.

  • Partner with IT to monitor conference room technology, printers, displays, networking equipment, and other office technology, submitting and tracking support tickets as needed.

  • Assist with office projects and operational initiatives that support the Sales Leadership and Sales Operations teams.

  • Proactively identify opportunities to improve office processes, enhance the employee experience, and ensure consistent, high-quality execution across all aspects of office management.

Qualifications:

  • Bachelor's degree or equivalent combination of education and relevant professional experience.

  • 3+ years of office management, workplace experience, or administrative support in a professional office environment (experience within the technology or IT industry is a plus).

  • Previous experience supporting a front desk, reception area, or customer-facing office environment with a strong hospitality mindset.

  • Exceptional organizational and time management skills, with the ability to effectively prioritize multiple responsibilities and adapt to changing business needs.

  • Self-motivated and able to work independently while exercising sound judgment and proactively solving problems.

  • Strong attention to detail with a commitment to accuracy, consistency, and follow-through.

  • Outstanding interpersonal, written, and verbal communication skills with the confidence to interact professionally with executives, customers, partners, and employees at all levels.

  • Friendly, approachable, and service-oriented, with a positive attitude and a passion for creating a welcoming workplace environment.

  • Professional presence and the ability to represent WWT with courtesy, discretion, and professionalism.

  • Strong proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint, along with the ability to quickly learn new systems and technologies.

  • Comfortable managing multiple priorities simultaneously while maintaining excellent customer service and responsiveness.

  • This is an onsite position based in our Washington, D.C. Innovation Center and requires regular in-office presence five days per week.

Certain states and localities require employers to post a reasonable estimate of salary range. A reasonable estimate of the current base pay range for this position is $90,000.00 to $100,000.00 annually. Actual salary will be based on a variety of factors, including shift, location, experience, skill set, performance, licensure and certification, and business needs. The range for this position in other geographic locations may differ. Certain positions may also be eligible for variable incentive compensation, such as bonuses or commissions, that is not included in the base pay.
