Job description

The purpose of this role is to support the goals and activities of the Human Resources Team. This position provides assistance to the HR and office teams by maintaining employee records, assisting with payroll and benefits, coordinating recruitment and onboarding, responding to employee inquiries, scheduling and supporting team travel arrangements, back up for reception, and general clerical support.


ESSENTIAL DUTIES AND RESPONSIBILITIES 

  • Maintain accurate and confidential personnel files.
  • Record employee data in HRIS system and keep records accurately updated. 
  • Support payroll by reviewing electronic timecards and addressing errors and discrepancies. 
  • Respond to employee inquiries related to company policies, processes, and benefits.
  • Assist with the recruitment process by posting job descriptions, screen applications for basic qualifications, performing reference checks, and scheduling and supporting interviews.
  • Prepare for and schedule new employee onboarding and orientations.
  • Schedule and support team travel arrangements by booking airfare, hotels, and rental cars as needed.
  • Backup receptionist through phone support, processing employee merchandise purchases, maintaining stock and cleanliness of shared spaces, and processing firewood sales.
  • Prepare reports and documents related to personnel performance, trainings, benefits, compensation, and personal information updates.
  • Assist Safety Committee with various administrative responsibilities. 

OTHER DUTIES AND RESPONSIBILITIES

  • Keep up to date with employment laws, regulations, and HR best practices.
  • Provide assistance in administering employee benefits and workers’ compensation plans.
  • Support termination processing and unemployment claims response.
  • Assist with performance management procedures.
  • Perform various data entry and administrative duties as needed.
  • Any other duties assigned by Supervisor.


MINIMUM QUALIFICATIONS AND EXPERIENCE

  • High School Diploma or equivalent required
  • Minimum 1 year of experience as an HR or administrative assistant required
  • Associate degree or professional certification in business administration, or related field preferred
  • Bilingual in English/ Spanish required
  • Strong written and verbal communication skills
  • Excellent interpersonal skills
  • Strong organizational skills and attention to detail
  • Excellent customer service skills
  • Proficiency in HRIS systems and Microsoft Office
