Job description

We are looking for a professional, organized, and customer-focused Receptionist / Administrator to join our growing staffing and recruitment team. This is an excellent opportunity for someone who enjoys working with people, staying organized, and supporting a fast-paced office environment.
The successful candidate will be the first point of contact for our office and will play an important role in supporting our recruitment, administrative, and client service activities.
Key Responsibilities

  • Greet and assist visitors, candidates, employees, and clients in a professional and welcoming manner.
  • Answer and direct incoming phone calls and respond to general inquiries.
  • Manage emails, correspondence, and general office communications.
  • Provide administrative support to the recruitment and operations teams.
  • Assist with candidate registration, onboarding, and maintaining employee records.
  • Schedule interviews, orientations, appointments, and meetings.
  • Assist with timesheets, payroll documentation, data entry, and other administrative processes.
  • Maintain accurate and up-to-date records in internal systems and databases.
  • Prepare documents, reports, spreadsheets, and other correspondence as required.
  • Support job posting and recruitment activities when required.
  • Assist with office organization, supplies, filing, and general administrative duties.
  • Handle confidential employee and client information with professionalism and discretion.
  • Provide excellent customer service to candidates, employees, and clients.
  • Take on additional responsibilities and projects as required to support the team.

Requirements & Qualifications

  • Previous experience in reception, administration, customer service, staffing, recruitment, or a related field is an asset.
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management skills with the ability to prioritize multiple tasks.
  • Strong attention to detail and accuracy.
  • Proficiency with Microsoft Office, particularly Outlook, Word, and Excel.
  • Comfortable learning and using new software, ATS, CRM, and other technology platforms.
  • Knowledge and practical experience using AI tools such as ChatGPT, Microsoft Copilot, or similar platforms is considered a strong asset.
  • Ability to use technology and AI tools to improve efficiency, communication, research, documentation, and administrative processes.
  • Strong problem-solving skills and the ability to take initiative.
  • Professional, positive, and approachable personality.
  • Ability to work independently while also contributing effectively as part of a team.
  • Ability to handle confidential information with discretion.
  • Previous experience in the staffing or recruitment industry is an asset.
  • Bilingualism or additional language skills are an asset.
