Minnieville Animal Hospital, part of the Suveto network of hospitals, is looking for an experienced part-time Administrative Assistant to join our Team! Minnieville Animal Hospital, located in Woodbridge, VA is a full-service veterinary hospital that's committed to offering the best possible care for our patients. We strive to create a welcoming environment for pets and their families as part of our dedication to delivering the highest quality of veterinary medicine including dental care, vaccinations, surgery and urgent care.
The primary goal of this position is to provide primary administrative support to the management team which will allow them to expedite solutions as needed for clinic operations. The Administrative Assistant will work in conjunction with the Medical Director and veterinarians to support the Medical Director in hospital management tasks. The scope of work of the Administrative Assistant will primarily include providing direct support to ensure smooth day-to-day operations.
Summary:
As this job description will evolve and change over time, an open mind, team approach and flexible "can do" attitude is expected. Minnieville's approach to practice building is a cooperative and collaborative process which will entail working with multiple departments at any given time with the end goal of reducing administrative burden on the Medical Director and team in order to allow them to focus on what matters most - patient care and client service at each of the veterinary hospital.
This is a part-time position; 8:30-4:00 Monday, Tuesday, and Friday. $15.00 - $18.00 per hour, depending on experience.
Skills Should Include:
  • Proven experience as an administrative assistant or office admin assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and scanners
  • Proficiency in MS Office
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Ability to meet strict deadlines w/ minimum direction
  • Ability to prioritize and organize workload
  • You must be able to multi-task and work well under pressure
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • 1-2 years customer service experience in veterinary clinic ideal, not required
  • Experience in Veterinary clinic a plus
  • Knowledge any Veterinary Practice Management System software platforms (such as AVImark, Cornerstone, Impromed, Ezyvet) a plus
  • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus

Duties may include but are not limited to:
  • Assist in the preparation of regularly scheduled reports
  • Prepare new account forms
  • Schedule appointments / coordinate installation between various teams and on site managers
  • Update and maintain office policies and procedures
  • Order office supplies
  • Act as the point of contact for internal and external clients
  • Liaise with the MD to handle requests and queries from senior managers
  • Assist as needed to any other department (Reception, Kennel, Veterinary)
  • Work with the MD and Veterinarians to continually improve processes that need to be performed at the hospital level, in a manner that makes the processes successful, repeatable
  • Overall contribute as a member of the Minnieville Animal Hospital Team in order to continue growth with an ownership mentality and mindset of continued excellence
  • Work with the Suveto Marketing team to increase marketability and to increase social media presence
