Job Summary
The purposes of this position is to document incoming donations and donor information in formats necessary for fund balancing, audits, & reporting. This position invoices vendors/donors; processes accounts payable as necessary for fund balancing, audits, and reporting. This position also coordinates the request and payment of Emergency Aid Request for students. Reconciles and balance scholarship invoices using manual spreadsheets, investigate discrepancies and coordinate with Financial Aid to correct, as well as creates, organizes, and maintains data entry classifications, development/troubleshoot system report processes.
Responsibilities and Duties:
  • Processing accounts receivable/payable: Receipt & recording of incoming donations and scholarship funds. Mail related correspondence/receipts. Entry of fund associations. Process payments. For both rec/pay maintain documentation of processes balances for reporting, balancing, and audits.
  • Responsible for assuring that the funds are entered into the correct account and that monthly tracking and reporting to the fund manager.
  • EOY fund balancing, general ledger updates to system, security updates to accounts. Creation of end of year contribution forms,
  • Creation of fund & GL records in system. Data entry, classification, integrity, and organization for information retrieval. Troubleshoot system processes, reporting, and report development.
  • Assist with the Reconciliation scholarship invoices using manual spreadsheets; analyze discrepancies and initiate corrections. Collaborate with Financial Aid to ensure accurate posting.
  • Emergency Aid contact for the Foundation - collects requests for student emergency aid from faculty and staff. Confirms that students are eligible for the aid with faculty/staff and checks student records. Confirms that there is funding available. Confirms with Foundation Director that award can be processed. Contact student and issues payment via student account, direct payment to student or by paying 3rd party vendor.
  • Reconcile employee payroll deductions and ensure accurate allocation of funds to designated accounts.
  • Prepare reports for executive leadership. These reports include summaries of donations of $500 and above for the Chancellor and Vice Chancellor of External Affairs and summaries of Student Emergency Aid.
  • Support and maintain financial systems. Played a key role in the implementation of BlackBaud Financial Edge and the ongoing use of Blackbaud Raiser's Edge.
  • Serve as a backup for Foundation operations and the Foundation Accountant.
  • Other duties as assigned. Responsibilities and duties may change based on the needs of the department and the institution.

Required Education
Associate's degree in accounting or a related field.
Required Skills & Abilities
  • Knowledge and Skills working with data base systems, data base design, data classification, information retrieval theories, and SQL processes
  • Strong Excel skills and moderate Word, Outlook, and Adobe Pro
  • Familiarity with Accounting basics and tracking
  • Strong communication skills

  • Strong skills working in the Blackbaud Raiser's Edge and Financial Edge system
