About The Role:

The Sr. Facilities Specialist will be a point of contact for internal and external customers seeking support and information from the Facilities organization. The Sr. Facilities Specialist will provide support to the Director of Workplace Services and the Facilities organization, manage company functions including office security, security badge and access assignments, emergency alerts, health & safety, business continuity, sustainability, space planning, events coordination, workorder management, daily office operations, and providing hands-on general support services for divisional staff.

Additionally, the Sr. Facilities Specialist, under the supervision of the Director of Workplace Services, will manage all outside contractors in support of the Facilities Department, including records & contracts, and coordinate project activities as required.

  • Assist in the ongoing development and daily management of the business continuity (disaster recovery) plan.

  • Help manage the sustainability program, including quarterly data gathering in partnership with the company’s parent company.

  • Manage space planning projects. Coordinate planning, developing, and implementing departmental moves to include workstation reconfigures & adjustments.

  • Help coordinate company events including logistics, vendor service contracts, insurance, ordering, setup, breakdown, and cleanup.

  • Assist with maintenance of office/kitchen equipment, furniture, and fixtures.

  • Perform a variety of building engineer duties such as hanging whiteboards & TV’s, furniture repair & assembly, patching & painting, and light plumbing/electrical/HVAC as needed.

  • Assist with regular maintenance and general upkeep throughout the facility to ensure a clean and safe working environment.

  • Order coffee/pantry/office supplies, facilities equipment, furniture, and fixtures as needed.

  • Provide general assistance to employees and manage work orders through an online ticketing system.

  • Perform a variety of administrative support activities relating to Shipping & Receiving to include mail delivery; processing of incoming/outgoing UPS, FedEx, USPS; and employee assistance with shipping services.

  • Coordinate the retrieval of company assets while proactively managing the Workplace Services portion of the HR term tracker.

  • Liaise with vendors, building engineers, and property management team while fostering positive working relationships.

  • Liaise with Workplace Services leadership and other Facilities team members throughout the Realtor.com enterprise.

  • Provide assistance and support on projects throughout the Realtor.com enterprise. Some travel may be required.

What You’ll Bring:
  • 7+ years of experience in facilities operations or workplace services.

  • Project management experience with emphasis on developing and implementing policies and procedures.

  • Knowledge of office security and safety. Honeywell system management a plus.

  • Experience with developing, implementing, & enforcing security and safety protocols, business continuity (disaster recovery) plans, sustainability efforts.

  • Experience with OfficeSpace spacing planning software preferred.

  • Experience The Receptionist or other visitor management software a plus.

  • Working knowledge OSHA standards for office environments.

  • Health & safety certifications a plus.

  • Previous security management experience a plus.

  • Detailed and customer service oriented.

  • Ability to multitask in a fast pace working environment.

  • PC literate with working knowledge of Microsoft applications.

  • Ability to lift 50 lbs. and cart 100+lbs.

  • Have a neat and tidy appearance with excellent written and verbal communication skills.

  • Hands‑on experience with making repairs and modifications to a building’s infrastructure and modular furniture.

  • Some travel may be required

  • Position is in-office full time Mon-Fri with afterhours and weekend availability as required.
