Job description

We are looking for a Property Administrator to assist in directing and coordinating activities of on-site management. This person will assist in effectively implementing procedures, cost controls and policies, maintaining good tenant and client/owner relations, as well as assisting the Property Management team in maintaining day to day operations. 

Responsibilities: 

  • Answer and manage incoming calls, assist tenants, respond to inquiries, and route messages appropriately.
  • Assist with coordinating tenant services, move-ins/move-outs, access card requests, conference room reservations, and after-hours HVAC requests.
  • Maintain tenant, vendor, and building records including Certificates of Insurance (COIs), Certificates of Occupancy (COs), contact lists, service agreements, and filing systems.
  • Assist with monitoring vendors and tenants for compliance with contracts, insurance requirements, and building procedures.
  • Process accounts payable, including invoice coding, updating the invoice tracking sheet, and creating billbacks to tenants.
  • Assist with delinquency reporting and late notices.
  • Update Energy Star monthly with utility data and assist with annual WELL Health and Energy Star submissions.
  • Coordinate tenant engagement activities and property events including holiday parties, welcome lunches, food drives, blood drives, and fire warden meetings/drills.
  • Conduct site walkthroughs and monitor janitorial, pest control, security, and engineering service requests.
  • Maintain office, engineering, and hospitality supply inventory, including ordering coffee, snacks, and general office supplies.
  • Prepare correspondence, memos, expense reports, commencement letters, and other administrative documents for the property management team.
  • Complete additional assigned tasks as requested.

Desired Competency, Experience and Skills: 

  • Must have a minimum high school education. Associates, B.A. or B.S. college degree preferred 
  • Minimum of 2 years previous commercial property management experience 
  • Experience with MRI, Workspace and Yardi software 
  • Previous experience in real estate accounting and familiarity with monthly accounting cycle, including an understanding of A/P, A/R, commercial leases. 
  • Possess professional demeanor and excellent interpersonal skills. 
  • Have access to reliable transportation and maintain a valid driver's license. 
  • Computer literate and proficient on MS Word, Excel, PowerPoint, 
  • Excellent communication skills, both verbal and written 
  • Ability to work independently as well as follow direction from the APM and SPM.

This position is 100% in-office. The role requires working in office during standard business hours. Remote work or telecommuting is not an option for this position.
