Real Estate Administrative Assistant

A successful, high-performing and established real estate team is looking for a Real Estate Administrative Assistant to join their team in St. Charles, IL. This is a great fit for someone who has a foundation in real estate and wants to learn more about the business while becoming an important part of the team.

You’ll work closely with agents, clients, vendors, and internal team members, helping keep the details organized and the listing process moving. While there is an administrative component to the role, you’ll also have plenty of opportunity to learn the listing, client service, and operational side of real estate.
What You'll Be Doing

Your responsibilities will grow as you become more comfortable in the role, but will include:

  • Assist with the process of preparing properties to go on the market
  • Gather and organize property information, tax records, documents, photos, and other listing details
  • Communicate with sellers regarding appointments, timelines, and next steps
  • Schedule photographers, stagers, lockbox installation, and other vendor services
  • Prepare and enter accurate property information into the MLS
  • Maintain organized listing files and documentation
  • Track appointments, deadlines, and outstanding items to keep projects on schedule
  • Manage information and tasks within the team's CRM
  • Communicate with agents, clients, vendors, and other team members throughout the listing process
  • Help coordinate the many details involved in getting a property ready for market
  • Provide general administrative and team support as needed
  • Take on additional responsibilities as your knowledge and experience grow

What We're Looking For

You don't need years of experience to be successful here. We're looking for someone with some real estate experience, a willingness to learn, and the initiative to grow into the role.

You’ll ideally bring:

  • 6 months-1 year of experience in real estate, real estate administration, title, transaction coordination, or a related field
  • An interest in building a long-term career in real estate
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Comfort interacting with clients, agents, and vendors
  • The ability to manage multiple priorities and stay on top of deadlines
  • A willingness to learn new systems, processes, and technology
  • A proactive, resourceful approach to solving problems
  • Dependability and strong follow-through
  • A positive, team-oriented attitude
