BENEFITS:

PURPOSE OF POSITION: Manage effective and efficient operation of the Rollason State Office in a manner that enhances agency reputation and always ensures high- quality internal and external customer service. Provide a broad range of support services to ensure quality and timely production of needed resources. Provide governance, administrative, and operational support to the Executive Administrative Manager and the Rollason State Office.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following; however, other duties may be assigned:
Customer Service and Office Leadership
  1. Serves as the primary point of contact for the Rollason State Office and always ensures the office presents a professional, welcoming, and responsive environment.
  2. Serves as the first impression of the office and always ensures visitors, staff, families, vendors, and community members are greeted promptly and courteously.
  3. Handles visitor and phone inquiries with professionalism, accuracy, and urgency, and ensures concerns are referred to the appropriate management personnel.
  4. Answers telephones, takes messages, responds to inquiries, and provides directions or assistance as needed.
  5. Maintains a polished front office, reception area, and public-facing environment that reflects the mission and standards of RCMA.
Office Operations and Administrative Management
  1. Manages and evaluates office services to ensure efficient daily operations.
  2. Designs, implements, and maintains office policies, procedures, and systems.
  3. Assigns, monitors, and coordinates reception, clerical, and maintenance functions.
  4. Provides administrative support to the Executive Administrative Manager and leadership team.
  5. Composes and creates correspondence, reports, forms, spreadsheets, and other documents.
  6. Coordinates office maintenance and repairs with Area Maintenance and prioritizes or delegates work order requests.
  7. Manages inventory, tracks usage, orders office supplies, and other designated supplies.
  8. Ensures efficient processing of incoming and outgoing mail, shipping, and office communications.
  9. Ensures the money log is completed daily and maintained accurately.
  10. Maintains building safety, security, cleanliness, and operational readiness.
  11. Maintains state office phone systems and manages use of the community classroom and boardroom.
Supervision, Governance, and Special Projects
  1. Supervises the Rollason Office Operations Specialist and Rollason Office Plant Operator and Maintenance.
  2. Monitors employee performance, attendance, and work schedules.
  3. Provides orientation, training, coaching, and support for professional development plans.
  4. Provides regular feedback through individual meetings and staff meetings.
  5. Maintains confidentiality of personnel, governance, financial, and organizational information.
  6. Conducts formal evaluations and disciplinary actions promptly as needed.
  7. Serves as backup for Board meeting logistics and governance support functions, including travel.
  8. Assists with planning Board-related meetings and events, including scheduling, space coordination, agenda communication, attendee confirmation, equipment setup, food ordering, and distribution of materials.
  9. Assists with minutes, transcribing, recordkeeping, and distribution of Board- related information as appropriate.
  10. Assists with maintaining and distributing the Board roster and other governance-related materials.
  11. Assists and supports special events, training coordination, Rollason Office committee activities, and organizational recognition events.
  12. Composes and facilitates monthly statewide webinar calls with the support of Regional Leads.
Resource Development and Records Support
  1. Develops, maintains, and updates a variety of agency resource materials.
  2. Maintains all RCMA forms and revisions.
  3. Performs material production, including typing, formatting, copying, collating, and assembling documents.
  4. Gathers dates, input information, and maintains the agency's Statewide Calendar.
  5. Assists with grant production and related administrative support as needed.
  6. Maintains organized records and supports the timely flow of information across the Rollason State Office.

MANDATORY QUALIFICATIONS: REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty element satisfactorily while exercising independent judgment and discretion under the general supervision of the Executive Administrative Manager. The requirements listed below are representative of the knowledge, skill, and/or ability required. The individual must meet age, medical, moral character, and any other requirements defined by Florida Statutes.
EDUCATION AND EXPERIENCE:
  • An Associate's degree is required, or a high school diploma with a combination of 3+ years of job-related experience in an office environment, with a focus on governance, administrative support, and staff supervision.
  • Demonstrated experience with travel coordination, meetings, and event planning.
SKILLS AND TECHNICAL COMPETENCIES:
  • Must type at least 40 words per minute with accuracy.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook, is required.
  • Familiarity with Adobe, Publisher, and Canva is helpful.
  • Demonstrated initiative and creativity in carrying out job duties.
  • Must be highly organized with a keen attention to detail.
