Job description
Alumni Engagement works to inform, inspire and involve Princeton's global community of more than 101,000 undergraduate and graduate alumni around the world in the life of the University for a lifetime of learning, enrichment, and service.
The Coordinator, is an integral member of the Affinity Programs team and works closely with the Director of Affinity Programs, the Associate Director of Affinity Groups and the Assistant Director, Princeton Prize in Race Relations. The position plays a key role in supporting important and high profile alumni programs, organizations and events that support a lifetime of engagement by alumni with the University and with each other. This position provides broad based support to the Affinity Programs team and is responsible for planning, implementing and supporting important alumni programs, boards and events that connect alumni with each other and the University.
In this role, the Coordinator represents the office to and interacts with the senior leadership of Princeton Alumni Affinity Groups and the Princeton Prize in Race Relations, in addition to faculty members, students, administrators, and outside organizations and individuals.
ResponsibilitiesAffinity Groups
- Support alumni volunteer leaders from all affinity groups with their Princeton events, programs and communications. Field and respond to general inquiries and advise alumni on Alumni Engagement policies, practices and events. Handle special requests from affinity group board members and related committees.
- Manage logistics for special events, focus groups and meeting.
- Prepare affinity group materials, communications, meeting arrangements and surveys.
- Assist the Associate Director of Affinity Groups with officer elections.
- Research, analyze and track affinity groups data to inform affinity engagement efforts.
- Code and manage alumni's leadership service, membership and participation database.
- Serve as technical lead to assist affinity group leaders with websites and email campaigns.
Affinity Conferences
- Partner with Events and Communications teams to support planning and execution of large-scale affinity conferences involving general communications, invitations, registrations, logistics, signage, materials, briefing documents, invoice processing, budget tracking and data collection and dissemination.
- Conduct and analyze research to identify potential conference speakers.
- Partner with Associate Director and Director of Affinity Programs to manage relationships and requests from conference steering committee members and speakers.
Princeton Prize in Race Relations
- Support the administration of the Princeton Prize in Race Relations (PPRR) to include managing websites, preparing materials for meetings and events, surveys, tracking and coding alumni leadership.
- Provide technical and administrative support to assist regional committee members, regional chairs, applicants and community partners with time-sensitive requests for information, customized reports, communications and general guidance.
- Analyze, research, and track program data to identify trends and inform regional engagement efforts through all the regional committees. This includes assisting with the annual prize winner survey design, data collection, and evaluation; annual report data collection; manage and track regional committees' engagement; and utilize data to inform regional work and support regional volunteer leaders.
- Working with the Assistant Director, Princeton Prize in Race Relations, process invoices and purchases and track expenses against program budgets.
- Coordinate logistics related to travel for students attending the Symposium on Race.
General Administrative Support
- Prepare budget reports for all Affinity Programs' initiatives, track and reconcile expenses against program budgets, and process invoices, payments and purchases.
- Participate in and support all team-related activities, programs and signature events such as Alumni Day, Reunions, Affinity conferences, homecoming weekend, Orange & Black Day, Tiger Tailgate, Alumni Council Executive Committee meetings, among others.
- A Bachelor's degree or equivalent and three or more years relevant work experience.
- Excellent communication (written and verbal) and interpersonal/customer service skills. Must demonstrate cultural competency skills and experience working with diverse populations.
- Exceptional organization skills, strong work ethic, and the ability to manage multiple, changing priorities simultaneously under deadline pressure.
- Ability to plan ahead and anticipate needs while exercising flexibility and adaptability.
- Experience managing budgets.
- Accuracy, close attention to detail, exceptional follow-up skills, the ability to adhere to deadlines, and discretion in dealing with confidential material.
- Ability to work occasional nights and weekends and travel.
- A high level of proficiency working with computer programs, tracking and managing large amounts of data, and working with the Microsoft Office suite of applications (Word, Excel, PowerPoint) and proficiency with Zoom.
Preferred qualifications:
- Previous experience in customer service, event planning and alumni relations.
- Experience with Salesforce and CRMs.
