Position Summary:
We are seeking a highly skilled and detail-oriented Executive Administrative Assistant to support day-to-day operations and executive level administrative needs. Reporting to the VP, Head of Operations, this individual will serve as a key partner in driving efficiency through strategic calendar management, cross-functional coordination, and administrative support across the executive suite and senior leadership team. The ideal candidate has direct experience supporting C-level executives and thrives in a fast-paced, high-growth environment. They are proactive self-starter who anticipate the needs of senior leaders, effectively prioritize competing demands, exercises exceptional judgment and discretion, and bring strong organizational skills along with a willingness to take on new projects and challenges. This role is primarily onsite, with the team seeking in-office support five days per week; occasional flexibility to work remotely and/or outside normal business hours is required.ย 
Key Responsibilities:
  • Provide comprehensive administrative support to members of the Senior Leadership Team, including calendar management, scheduling, travel management, expense reporting, and meeting coordinationย 
  • Manage complex and dynamic calendars while prioritizing competing demands and ensuring efficient time management
  • Serve as the primary point of contact by welcoming visitors in a friendly and professional manner
  • Coordinate logistics for events including for Board and Scientific Advisory meetings, company-wide meetings, outings, off-site meetings, and team-building initiatives
  • Maintain office operations and ensure general organization and stock of supplies
  • Support onboarding logistics for new employees, including workspace preparation and scheduling introductory meetings
  • Assist with planning and execution of company website updates and social media content
  • Maintain conference trackers and ensuring we have representation at important conferences
  • Other duties as assigned to support the team and a high functioning organization.ย 
Required Qualifications:
  • 5 plus years of professional administrative experience including supporting ย C-level executives.ย 
  • Must have experience working in a small biotech environmentย 
  • Exceptional organizational and time management skills, including attention to detail and ability to successfully multi-task competing priorities.
  • Must have excellent written and verbal communication skillsโ€ฏย 
  • Strong interpersonal skills with a collaborative, team-oriented approach
  • Demonstrate flexibility and professional maturity to readily understand priorities and anticipate needs
  • High level of professionalism and discretion in handling confidential and sensitive information
  • Super user for mainstream office tools including videoconferencing (Zoom) and Microsoft Office Suite โ€“ Outlook, PowerPoint, Word, Excel, Teamsโ€ฏย 
  • Experience with Canva, Adobe Photoshop or similar tools to support social media efforts
