We are seeking a Permit Specialist who researches, prepares, submits, and tracks permits and approvals required for project work, including right-of-way permits, right-of-entry agreements, and easements. This role coordinates with agencies, utilities, vendors, and internal teams to ensure applications are completed accurately, reviewed efficiently, and approved on time. The position also supports workflow management, customer service, SLA compliance, quality assurance, and timely project delivery.



Responsibilities


  • Receive and enter incoming work from various sources (email, PDFs, paper, FTP sites, customer databases, etc.) into internal and client databases/software accurately, per established processes, and within established times. 
  • Research permitting and approval provided by authorizing agencies, utility providers, stakeholders, and clients. 
  • Gather required data for permit entity requests. 
  • Manage the full lifecycle of permit acquisition and tracking across all projects, including submittal, review, corrections, approvals, and receipt of permits such as railroad, DOT, utility pole, temporary access, and other regulatory permits. 
  • Maintain and update internal and external databases with accurate, real-time status updates on permits, approvals, and related project documentation. 
  • Review, process, and track subcontractor invoices through the approval process to ensure compliance with established turnaround timelines. 
  • Ensure timely processing of all fees required for permit approvals and issuance. 
  • Scan field notes and other maps as requested. 
  • Accurately compile and enter data to create necessary reports for daily and weekly tasks and/or ad hoc reports as requested by leadership. 
  • Ensure accurate billable items are assigned to each project within internal and/or external database(s) or similar. 
  • Adhere to timely permit turn around based on customer needs and established SLAs, and make sure customer is properly informed on open and/or pending approvals, as well as any identified risks. 
  • Provide regular project and task updates to Permitting Supervisor and Project Leadership. 
  • Mentor Permit Coordinators and support team development. 
  • Create and promote the company image through exercising sound and ethical business practices related to employees, the public, and customers. This includes ensuring that the service and quality provided to customers is satisfactory. 
  • Ensure confidentiality of customer and company information. 
  • Complete other duties or special projects assigned by management.

 

Qualifications


  • 2+ years of right-of-way permitting or equivalent experience. 
  • 2+ years cable engineering support experience. 
  • Experience using GIS programs such as QIS and ArcGIS. 
  • Skilled in managing different types of permitting processes, including production-based permitting, acquired through practical experience.  
  • Working knowledge of cable design principles and fundamental construction practices related to cable systems.  
  • Proficient in MS word, Excel, PowerPoint, and Outlook. 
  • Ability to update and/or create PDF maps for permits using Bluebeam, Nitro or PDF editor. 
  • Microsoft D365, Salesforce, O-Calc Pro, QuickBase, NJUNS, ALDEN, AutoCAD software experience. 
  • Keen attention to detail and the ability to spot errors and inconsistencies. 
  • This role works closely with customers and requires clear communication skills, both verbal and written, and polished and professional personal interactions. 
  • Must multi-task, handle interruptions, and prioritize workloads. 
  • Must have strong verbal and written communication skills. 
  • Able to take directions and work independently. 
  • Able to learn, adapt and accept increased responsibility. 
  • Must be responsible, self-motivated, and able to work effectively in a remote environment.

Shift is Monday-Friday between the hours of 8:00 a.m. to 5:00 p.m. CST but must be able to work outside normal business hours when required.
