About the Role

We are currently seeking a Data Entry Assistant - Quality to join our Quality team at our sauce manufacturing facility in Totowa, New Jersey.

The Data Entry Assistant – Quality supports the Quality team by maintaining supplier documentation, improving record accuracy, assisting with QMS processes, and ensuring compliance by preventing missing or expired documentation. This role helps strengthen the quality system and maintain operational efficiency across all facilities.

Key Responsibilities
  • Support the daily administrative workload generated by Dot Compliance QMS implementation across all three facilities.
  • Track and maintain 50+ daily QMS workflow activities to ensure timely completion and system accuracy.
  • Maintain supplier documentation, certifications, and records to reduce the risk of missing or expired compliance documents.
  • Organize supplier compliance documentation for Quality and Regulatory review.
  • Maintain electronic quality records, tracking logs, and supplier files to support audit readiness.
  • Monitor incomplete tasks and recurring documentation gaps, reporting trends to Quality leadership.
  • Maintain and revise internal training guides and standard work instructions for DOT Compliance processes.
  • Provide backup support for routine Quality Technician responsibilities during absences or increased workload.
  • Collect and organize supplier and packaging data for EPR reporting.
  • Maintain customer complaint logs, metrics, and trend reports to support continuous improvement initiatives.
  • Reduce administrative workload for Quality and Regulatory leadership, enabling greater focus on regulatory compliance, CAPA, supplier approvals, investigations, and audits.
  • Support document management and routine follow-up activities across multiple facilities to strengthen communication and consistency.
  • Improve supplier communication, documentation collection, and system updates to enhance operational efficiency.
  • Support the long-term sustainability and organization of the Dot Compliance QMS following implementation.
  • Help maintain department workflow continuity in a fast-paced environment with increasing compliance and documentation requirements.
Minimum Qualifications
  • High school diploma or GED required; associate degree in Quality, Business Administration, Supply Chain, or a related field preferred.
  • 1–3 years of administrative, data entry, document control, or quality support experience preferred.
  • Strong attention to detail with the ability to maintain accurate records and identify documentation gaps.
  • Proficient in Microsoft Office applications, including Excel, Power BI, Word, and Outlook.
  • Experience with electronic document management systems or Quality Management Systems (QMS) preferred.
  • Ability to organize, track, and prioritize multiple tasks in a fast-paced environment.
  • Strong communication skills with the ability to follow up effectively with internal teams and external suppliers.
  • Ability to maintain confidentiality and handle compliance-related documentation professionally.
  • Manufacturing, food safety, supplier quality, or regulated industry experience preferred.
