Role Overview:

The Data Entry Assistant – Quality is responsible for supporting the Quality department through accurate data entry, supplier document management, and Quality Management System (QMS) administration. This role helps improve supplier document turnaround times, maintain compliance records, support audit readiness, and reduce the risk of missing or expired documentation across multiple manufacturing facilities.

This is a detail-oriented administrative position requiring strong organizational skills, accuracy, and the ability to manage multiple documentation priorities in a fast-paced manufacturing environment. The ideal candidate is proactive, organized, and comfortable working with quality records, supplier documentation, and cross-functional teams to support operational efficiency and regulatory compliance.

Job Requirements:
  • High school diploma or GED required; Associate's degree in Quality, Business Administration, Supply Chain, or a related field preferred.
  • 1–3 years of experience in data entry, administrative support, document control, or quality administration.
  • Strong attention to detail with the ability to maintain accurate records and identify documentation gaps.
  • Proficiency in Microsoft Excel, Power BI, Word, and Outlook.
  • Experience with electronic document management systems (EDMS) or Quality Management Systems (QMS) preferred.
  • Ability to organize, prioritize, and manage multiple tasks in a fast-paced environment.
  • Strong communication skills with the ability to collaborate effectively with internal teams and external suppliers.
  • Ability to maintain confidentiality while handling compliance-related documentation.
  • Manufacturing, food production, supplier quality, or another regulated industry experience preferred.

  • Support QMS Administration: Assist with the daily administrative workload generated by the Dot Compliance Quality Management System (QMS) across multiple manufacturing facilities.
  • Track Quality Workflows: Monitor and maintain 50+ daily QMS workflow activities, ensuring timely completion and accurate system updates.
  • Maintain Supplier Documentation: Organize, update, and maintain supplier certifications, compliance documents, and quality records to reduce the risk of missing or expired documentation.
  • Maintain Audit Readiness: Keep electronic quality records, tracking logs, and supplier files organized to support internal and external audits.
  • Monitor Documentation Gaps: Identify incomplete tasks, recurring documentation issues, and report trends to Quality leadership.
  • Support Training Documentation: Maintain and update internal training guides, standard work instructions, and documentation related to QMS processes.
  • Provide Quality Support: Serve as backup for routine Quality Technician responsibilities during absences or periods of increased workload.
  • Maintain Quality Metrics: Collect and organize supplier information, packaging data, customer complaint logs, and trend reports supporting continuous improvement initiatives.
  • Support Regulatory & Quality Operations: Assist with supplier communications, document management, and routine follow-up activities to improve compliance and operational efficiency across multiple facilities.
  • Strengthen Quality Systems: Support the long-term organization, sustainability, and effectiveness of the Dot Compliance QMS while helping reduce the administrative workload of the Quality and Regulatory teams.
  • Perform other job-related duties as assigned.
