Job description

This position is responsible for organizing, scheduling, and managing the flow of activities for the field technicians. They monitor/adjust the daily schedule as needed to complete the expected and upcoming work in the short term. This position is responsible for collaborating with service managers, office staff, sales staff, field technicians, contractors, and customers to ensure smooth and profitable projects from start to finish.
Essential Duties & Responsibilities:
  • Schedule appointments for clients, answer phones and track clients' service records
  • Assess the service needs of clients and connect them with the correct provider
  • Fields customer service and repair requests, creates work orders, and schedules technicians
  • Prepares for scheduled work, including parts requisition, site visits, plan review, permit submittals and inspections.
  • Tracks technician performance, including compliance with applicable codes and laws.
  • Provides a high level of communication with customers and team members throughout timeline of scheduled services and ensures customer satisfaction
  • Supports the operations team with new customer onboarding process and manages service and repair implementation.
  • Maintains accurate customer data in digital database.
  • Reviews completed service and repair orders and prepares customer invoices.
  • Audits profit and loss data for service and repair activities and reviews budget adherence. Maintaining profitability of work
  • Cross-coordinate technician schedules with Inspection Coordinator.
  • Act as backup and support for duties of the Inspection Coordinator as needed.
  • Maintains a professional image that reflects the core values of Pye-Barker Fire & Safety
  • Ensures and safeguards a World Class Service customer experience. Answer telephones and respond to email inquiries in the office
  • Perform other duties assigned by management.

Education/Qualification:
  • One - plus years of industry experience / training or related customer service experience
  • Previous administrative experience preferred
  • Proficient skills in Microsoft Office, including Microsoft Word, Microsoft Excel and Outlook
  • Excellent customer service and problem-solving skills
  • High quality organizational skills
  • Excellent communicator with customers and team members
  • Highly organized and self-disciplined
  • High attention to detail
  • Quick learner and self-starter with the ability to work in a fast-paced, growing company.
