ChristianaCare is looking for a full-time Materials Inventory Coordinator II. The Inventory Coordinator provides operational support to the Clinical Supply Chain Manager and HVIS Supervisor to ensure the timely, accurate, and cost-effective management of inventory across all Heart & Vascular and Interventional Services.

This position is responsible for inventory control, replenishment, product availability, non-stock management, data integrity, system maintenance, product standardization efforts, and procedural area support. The HVIS Inventory Coordinator serves as a key liaison between clinical teams, vendors, Purchasing, Master Data, SPD, and Supply Chain Operations to ensure procedural areas remain safe, stocked, compliant, and operationally efficient.

The coordinator actively manages inventory performance through par level optimization, inventory analytics, product conversions, expiration management, shortage mitigation, and continuous process improvement initiatives while supporting staff throughout Wilmington and Christiana campuses.

Duties and Responsibilities:Operational Presence & Area Support
  • Maintains an active presence within assigned procedural areas to monitor inventory health, identify issues, and support clinical operations.
  • Serves as the primary supply chain resource for assigned HVIS locations and responds to real-time operational needs.
  • Provides timely Vocera, email, and telephone support for supply-related requests and escalations.
Ordering & Inventory Management
  • Manages and processes stock and non-stock orders for assigned procedural areas.
  • Monitors inventory levels and proactively adjusts replenishment parameters to ensure product availability while minimizing excess inventory.
  • Performs routine audits of inventory, par locations, and storage areas to maintain inventory accuracy and system integrity.
Change Management & Workday Support
  • Coordinates inventory location changes, par item additions, removals, and product substitutions.
  • Maintains inventory records, Workday item data, labeling, and replenishment parameters.
  • Creates, updates, and maintains inventory labels and par documentation across assigned procedural areas.
Expiration & Sustainability Management
  • Conducts routine reviews of expiring inventory and coordinates redistribution, donation, return, or disposal activities as appropriate.
  • Supports organizational sustainability initiatives through proactive management of at-risk inventory and waste reduction efforts.
Vendor & System Coordination
  • Serves as a primary point of contact for vendors regarding inventory support, consignment inventory, back-orders, substitutions, and new product implementations.
  • Coordinates with vendors and internal stakeholders supporting Mobile Aspects, Workday, Palantir, RFID inventory management systems, and consignment programs.
  • Supports inventory-related meetings with physicians, clinicians, vendors, and leadership teams.
Back order, Alternative Product & Shortage Management
  • Tracks product shortages, backorders, substitutions, and allocation issues.
  • Communicates supply disruptions to clinical stakeholders and coordinates mitigation plans to maintain procedural continuity.
  • Works with Purchasing, Contracting, and clinical teams to identify and implement suitable alternative products.
Trial & Product Evaluation Support
  • Coordinates inventory support for product trials and evaluations.
  • Maintains documentation, inventory tracking, and implementation plans related to product conversions and efficacy assessments.
  • Supports physicians and clinical leaders throughout trial initiation, monitoring, and completion.
Implant & Explant Management
  • Supports inventory processes related to implants and explants, ensuring timely documentation and compliance with organizational requirements.
  • Assists with inventory reconciliation, tracking, and resolution of inventory discrepancies affecting procedural activity and vendor billing.
Data Analytics & Reporting
  • Uses data analysis to identify opportunities for standardization, waste reduction, inventory optimization, and cost savings.
Hours: Day Shift - 7:00a - 3:30pEducation and experience requirements:

Minimum of four (4) years of experience in materials distribution, inventory control, or supply chain operations required.

Experience supporting perioperative services, procedural areas, or healthcare operations is preferred.

Candidates with extensive materials distribution and inventory management experience may be considered in lieu of direct perioperative experience.

Knowledge, Skill, and Ability Requirements
  • Demonstrated proficiency in Workday, inventory management systems, Microsoft Office applications, and data analysis tools.
  • Experience working with RFID inventory solutions, automated replenishment systems, and healthcare inventory management technology preferred.
  • Strong analytical, organizational, and problem-solving skills.
  • Ability to independently prioritize competing demands in a dynamic procedural environment.
  • Knowledge of supply chain operations, inventory control methodologies, product standardization, and healthcare materials management practices.
  • Ability to effectively communicate with physicians, clinical leadership, vendors, and cross-functional teams.
Physical demands:

Standing for long periods of time

Lifting, carrying, pushing, pulling, bending, and walking

Frequent lifting up to 35 lbs.

Must be able to push a cart with a maximum of 200 lbs. of stock to the HVIS

Must be able to visually inspect small packages and verify small text including but not limited to expiration information which may be translucent.

Hourly Pay Range: $19.84 - $29.76This pay rate/range represents ChristianaCare's good faith and reasonable estimate of compensation at the time of posting.
