The Purchasing Assistant supports purchasing, inventory, receiving, and material control activities to ensure uninterrupted operations within a manufacturing environment. This role is responsible for maintaining purchasing records, coordinating inbound shipments, managing documentation, supporting inventory control initiatives, and ensuring material certifications and quality records are accurately maintained. The Purchasing Assistant also provides administrative support for purchasing activities and ERP system data management.

Job Function
Receiving & Document Maintenance
• Coordinate inbound freight activities and shipment tracking.
• Verify receiving documentation for incoming materials and products.
• Review and maintain inspection records and Material Test Reports (MTRs) to ensure compliance with customer and quality requirements.
• Ensure all receiving and certification documentation is complete, accurate, and properly filed.
• Maintain MTR records and support retrieval of documentation for audits, customer requests, and quality reviews.
Purchasing Support
• Monitor and maintain purchase order status to ensure timely delivery of materials and services.
• Follow up with suppliers regarding open orders, backorders, and delivery commitments.
• Process and track backorder purchase orders and related transactions.
• Assist in maintaining purchasing records and procurement documentation.
Inventory & Material Control
• Assist with inventory accuracy initiatives and material tracking.
• Support warehouse inventory record maintenance and reconciliation efforts.
Quality & Compliance Support
• Coordinate material testing activities and maintain associated records.
• Ensure quality and compliance documentation is properly controlled and retained.
• Assist in meeting customer, regulatory, and internal documentation requirements.
ERP & Document Management
• Assist in creating and maintaining part records within the GSS system.
• Support GSS document control processes, including document updates, revisions, and record retention.
• Maintain accurate master data and purchasing information within company systems.
• Assist with system updates and data integrity initiatives.
Reporting
• Prepare and distribute Warehouse (WHS) reports and other purchasing-related reports.
• Support month-end and periodic reporting requirements.
Required Skills
• Valid Driver's License - required.
• 0-5 years of relevant experience or any equivalent combination of education and experience that provides the required knowledge, skills, and abilities - required.
• Proficiency with Microsoft Office applications, especially Excel.
• Strong organizational and recordkeeping skills.
• Excellent attention to detail and accuracy.
• Effective verbal and written communication skills.
• Ability to prioritize multiple tasks and meet deadlines.
• Strong problem-solving and follow-up skills.
• Ability to work independently and collaboratively with purchasing, warehouse, quality, and production teams.
• Experience working in a manufacturing environment - preferred.
