Description

Summary

Responsible for providing administrative and clerical support to the Fire Alarm and/or Fire Sprinkler divisions; assist project managers, service coordinators, inspectors, and technicians by handling documentation, scheduling, and customer communication.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Provide day-to-day administrative support for the Fire Alarm and Fire Sprinkler teams.
  • May prepare, proofread, and distribute proposals, inspection reports, and work orders.
  • Create and process purchase orders, material requests, and invoices.
  • Maintain project files, job folders, and digital records in company systems.
  • Communicate with customers regarding scheduling, documentation, and follow-up.
  • Support compliance efforts by maintaining required documentation for NFPA and AHJ (Authority Having Jurisdiction) inspections.
  • Coordinate with vendors and suppliers for material orders or equipment returns.
  • Provide general office support including answering phones, greeting visitors, and handling correspondence.

 

Education and/or Experience

High School Diploma or GED; two or more years related experience and/or training; or equivalent combination of education and experience.

Computer Skills

Microsoft Office to include Word, Excel.

Physical Demands

While performing the duties of this Job, the employee is regularly required to sit and use hands to finger, handle, or feel.  The employee is frequently required to talk or hear.  The employee is occasionally required to stand; walk and reach with hands and arms. The employee must occasionally lift and/or move up to 10 pounds.  Specific vision abilities required by this job include close vision.
