Materials Coordinator

Job Title: Materials Coordinator

Hours: 7am - 330pm - OT as needed

Job Summary:
The Materials Coordinator is responsible for managing procurement, inventory control, and receiving operations to support efficient business operations. This role ensures materials and supplies are available, properly tracked, and accurately documented while maintaining strong vendor relationships and supporting production needs. This role requires someone who can multitask and work in a stressful environment.

We will provide training for this position.

Key Responsibilities: Procurement & Purchasing:

  • Identify, evaluate, and select suppliers for materials and services
  • Negotiate pricing and terms to ensure cost-effective purchasing
  • Conduct cost analysis and monitor purchasing trends

Vendor Management:

  • Develop and maintain relationships with suppliers
  • Evaluate vendor performance and address issues as needed

Order Management:

  • Prepare, issue, and track purchase orders
  • Monitor shipping schedules and ensure timely delivery of materials

Inventory Control:

  • Maintain accurate inventory records and stock levels
  • Conduct regular inventory audits and reconcile physical counts with system records
  • Monitor inventory discrepancies and report issues such as shortages or potential loss

Receiving & Inspection:

  • Receive, unload, and verify incoming shipments against purchase orders and packing lists
  • Inspect materials for damage or quality issues and report discrepancies
  • Process returns and maintains accurate receiving documentation

Reporting & Documentation:

  • Maintain accurate records in inventory and purchasing systems, training provided
  • Generate reports on inventory levels, purchasing activity, and trends, training provided

Material Handling:

  • Operate forklifts or other equipment to move and store materials safely

Other Duties:

  • Perform additional duties as assigned to support operations

Skills & Qualifications: Technical Skills:

  • Proficiency in SAGE software preferred, training provided
  • Working knowledge of Microsoft Office Suite, especially Excel, training provided

Core Competencies:

  • High attention to detail and organizational skills
  • Strong verbal and written communication skills
  • Ability to manage multiple tasks and meet deadlines

Education & Experience:

  • High school diploma or equivalent required
  • Minimum of 1 year of experience in purchasing, inventory control, receiving, or a related field
