Job description

Position Title: Executive Assistant
Salary Range: $70,000-$80,000 / Year, DOE
We are seeking an operationally minded Executive Assistant to work directly with the President and serve as a key resource across purchasing, marketing, sales operations, warehousing, transportation, and office administration. This person will turn data into useful insights, keep cross-functional projects moving, and step confidently into the details that help a growing distribution business operate efficiently. We're looking for a mature, articulate, highly capable professional who is comfortable wearing multiple hats, manipulating data in Excel, and communicating directly with vendors, suppliers, and internal teams. You must be confident enough to pick up the phone, resourceful enough to figure things out and detail-oriented enough to catch what others miss.
Responsibilities
  • Provide direct operational support to the President across marketing, purchasing, warehousing, sales, transportation, warranty administration and general business operations
  • Analyze purchasing history, sales margins, commissions, expenses, freight costs and inventory-to-sales ratios while developing dashboards and reporting tools
  • Coordinate with suppliers, warehouses, transportation providers and 3PL partners to support purchasing, special shipments, freight rates and timely delivery of goods
  • Support marketing initiatives by reviewing product materials and websites, developing sales support documentation and coordinating with external marketing partners
  • Partner with the sales team on marketing materials, shipments, trade show schedules, standard operating procedures, and account profitability analysis
  • Manage vendor and office-related needs including IT, internet, equipment, facilities, and other operational services while communicating relevant workplace updates to employees
  • Review communications on behalf of the President, prepare professional responses and identify issues or action items that require follow-through

Requirements
  • 5+ years of professional experience in executive support, operations, business administration, or a similarly cross-functional role
  • Advanced Excel proficiency with the ability to manipulate data, perform analysis and translate information into clear reporting
  • Exceptional written and verbal communication skills with the confidence to communicate professionally across all levels of the business
  • Strong analytical ability with the capacity to work through purchasing, freight, profitability, inventory and operational data
  • Proven ability to manage competing priorities, work independently and take ownership of projects from initial request through completion
  • Proficiency with Microsoft Office and experience working with CRM or business management systems
  • Bachelor's degree preferred, with 10+ years of relevant professional experience highly valued
