Atlanta Fine Homes Sotheby’s International Realty and Mountain Sotheby’s International Realty are seeking a highly capable, proactive Executive Operations Manager to serve as a trusted partner to the Chief Marketing Officer.

This is not a traditional Executive Assistant role or an additional functional Marketing leadership position. The role is designed to help the CMO operate more effectively by preserving context, anticipating needs, gathering information, coordinating across teams, maintaining follow-through and reducing unnecessary friction.

The ideal candidate combines exceptional judgment, organization and initiative with the ability to think several steps ahead. They understand the business context behind the work, recognize connections others may miss and know how to gather the right information, involve the right people and bring the CMO clear, well-framed decisions to make.

This person may attend meetings, gather information and coordinate conversations on the CMO’s behalf. They are expected to develop informed recommendations and surface implications, but they are not a proxy decision maker. Their role is to inform, recommend, connect and prepare while preserving decision authority with the CMO or appropriate functional leader.

Success requires executive-level judgment and a willingness to handle practical details. The importance of a task is determined by the capacity it creates and the outcome it supports, not by how impressive the task sounds.

Key Responsibilities

Executive Operations & CMO Partnership

• Maintain a forward-looking view of the CMO’s priorities, commitments, meetings, deadlines and key initiatives.
• Strategically manage the CMO’s calendar, meetings, appointments, travel and related logistics.
• Prepare the CMO for key meetings and decisions by gathering relevant context, materials, stakeholder perspectives, outstanding questions and potential options.
• Attend select meetings or conversations on the CMO’s behalf to gather information, preserve context and ensure appropriate follow-through.
• Monitor correspondence and incoming requests, route matters appropriately and ensure time-sensitive issues receive attention.
• Track key decisions, commitments and action items through completion.
• Condense complex or fragmented information into concise, decision-ready updates that identify the issue, relevant context, implications and recommended next step.
• Determine when additional information or input is needed before bringing a matter forward for decision.
• Manage select routine approvals, expenses and administrative responsibilities where authority has been clearly delegated.

Context, Coordination & Follow-Through

• Understand the CMO’s priorities and broader organizational context well enough to recognize who needs information, when they need it and why.
• Ensure relevant context and changing priorities move effectively between the CMO, senior leadership, Marketing leaders and key organizational partners.
• Connect the appropriate people when priorities or decisions intersect across Marketing, Creative, Events/Hospitality, Operations, IT, Accounting, company offices or external partners.
• Identify communication gaps, unclear ownership, missed handoffs, conflicting priorities and potential risks early.
• Translate decisions and conversations into clear ownership, next steps and timing.
• Follow up on commitments and deliverables without requiring the CMO to continually chase status.
• Recognize recurring patterns and surface when an individual issue may indicate a broader operational or communication challenge.
• Maintain visibility across important initiatives without duplicating the responsibilities of existing functional leaders.

Prioritization & Decision Readiness

• Help distinguish what requires the CMO’s attention, what can wait and what should be directed to another functional owner.
• Anticipate risks, dependencies, resource conflicts and upcoming needs before they become urgent.
• Bring unresolved matters forward with relevant facts, stakeholder input, viable options and a recommended course of action.
• Gather differing perspectives and facilitate alignment when helpful while preserving decision authority with the CMO or appropriate leader.
• Resolve routine logistical and administrative matters within clearly established parameters.
• Escalate substantive business, personnel, budget, brand, strategic or policy decisions for appropriate approval.
• Create simple systems for tracking priorities, decisions and commitments where useful without introducing unnecessary process.
• Protect the CMO’s time without becoming an unnecessary communication layer, gatekeeper or proxy decision maker.

Marketing, Organizational & Personal Support

• Develop a strong working understanding of Marketing functions, workflows, tools, brand standards, priorities and capacity.
• Maintain awareness of priorities across Marketing leadership while preserving clear functional ownership.
• Help ensure new team members or changing responsibilities receive appropriate context, expectations and connections.
• Coordinate occasional personal or family logistics when doing so creates meaningful executive capacity, including travel, appointments, calendar considerations, gifts, important dates or errands.
• Handle confidential professional and personal information with exceptional discretion.

• Exceptional discretion with confidential professional and personal information.
• 3+ years of relevant experience in executive operations, business operations, project/program management, executive support or another complex, high-demand environment.
• Experience supporting or working closely with senior leadership strongly preferred.
• Bachelor’s degree required; equivalent relevant experience will be considered.

What Success Looks Like

The CMO carries fewer open loops and spends less time gathering information, chasing follow-up or coordinating preventable details. Important commitments are anticipated earlier. Relevant context reaches the right people sooner. Decisions arrive to the CMO researched, framed and ready to make, rather than as incomplete problems requiring additional investigation.

This person understands the difference between moving work forward and making decisions that are not theirs to make. They ask the right questions, gather the right perspectives, identify implications and recommend a path forward while preserving ownership and authority with the appropriate leader. Most importantly, this person creates capacity allowing the CMO and Marketing leadership team to spend more time on the work only they can do.
