Job description

Job Title: Training & Administrative Analyst

We are seeking a detail-oriented and tech-savvy professional to join our team. This role is uniqueโ€”you will serve as a bridge between our operations and our management team, ensuring that our site managers are fully equipped to use both our legacy internal systems and our newly implemented Workday platform.

The ideal candidate is a patient communicator who can master software quickly and then simplify those processes for others.


Software Training & Support

  • Legacy Systems Specialist: Become an expert in our existing proprietary software to provide ongoing training and troubleshooting support for managers.
  • Workday Integration: Assist in the rollout of Workday by learning the platformโ€™s workflows and helping managers transition their daily administrative tasks to the new system.
  • Knowledge Management: Create simple "how-to" guides, cheat sheets, or short video tutorials to help managers navigate software updates and standard procedures.

Analyst and Administrative Operations

  • Microsoft Office Mastery: Utilize Excel, Word, and Outlook to manage data, generate reports, and maintain clear communication across the company.
  • Documentation: Maintain accurate records of manager training progress and system access credentials.
  • General Support: Assist with digital filing, and assisting with organization operational matters as needed.
  • Accounting & Operations Liaison: Facilitate communication between the accounting and operations departments. You will manage the flow of billing changes and corrections, ensuring that operational updates are accurately reflected in financial records and troubleshooting any discrepancies.

  • Software Agility: A proven ability to learn "legacy" or older software systems quickly. You should be the person people go to when they can't figure out a computer program.
  • Experience in Workday Software: Prior experience using Workday for HCM and Finance preferred, but would consider experience in similar software programs.
  • Proficiency in Microsoft Office: Advanced skills in Excel (data entry, basic formulas) and Outlook are essential.
  • Communication: Must speak English and Spanish. Exceptional patience and the ability to explain technical steps to non-technical staff in a clear, supportive manner.
  • Experience: Previous experience in office administration, HR coordinator, or technical support role is preferred.
  • Workday Experience: Previous experience with Workday is a significant plus, but we are willing to train the right candidate who has a strong administrative background.
