Job description

Summary

DivcoWest is seeking a knowledgeable and responsible building operations & engineering professional to join our Property Management Team. As the Operations Manager, you will plan, implement, coordinate, and manage all mechanical operations, maintenance, communications, energy management, and engineering staff programs for the assigned properties owned/managed by DivcoWest. You will be responsible for oversight of third-party engineering as well as physical operational oversight at the properties. You will be working in daily collaboration with the on-site property management teams and asset management team. You will be working with and reporting directly to the local Associate Director (Property Management - Operations).

This is a full-time role requiring five (5) days on-site at our Cambridge, Massachusetts properties.  Attendance at or remote availability in the evenings or weekends may be required for projects and/or emergency situations. This position is not eligible for immigration support or sponsorship now or in the future.

The ideal candidate must take the initiative to lead projects and ongoing efforts and give direction but must also be comfortable collaborating with multiple stakeholders working on the properties. Problem-solving and communication abilities are equally important.

Responsibilities

  • Accountable for all aspects of engineering and technology activities at the assigned properties to ensure business objectives are met.
  • Serves as the primary technical authority and technical interface for engineering team, property management and asset management at the properties.
  • Recommend and make strategic supervisory decisions in conjunction with the national Senior Director and the local Associate Director.
  • Assists in creating and ensuring compliance with departmental policies, standards, and procedures.
  • Coordinate activities of third-party engineering staff and collaborate on appropriate engineering staffing levels.
  • Evaluate repair/maintenance/upgrade contractor qualifications and recommendations and ensure proposals have sound solutions, schedules, drive affordability.
  • Provides status updates to the property team of contractor activities.
  • Ensure contracts under their purview are administered.
  • Supervise and review all technical operations of MEP/LS systems and equipment including but not limited to air handling & distribution, water pumping & distribution, hot water & steam boilers, district steam, domestic hot water, chillers and cooling towers, water quality & treatment, building management/automation systems, electrical power and control systems, teldata & networking, fire alarm & fire protection systems, and other commercial building systems of various configurations and vintages.
  • Manage all facets of inspections and surveys, including energy audits and analysis, HVAC, electrical and plumbing systems, environmental compliance, and third-party.
  • Develop and provide ongoing improvement of preventive maintenance and engineering procedures & programs, hazardous materials communications plan, and indoor air quality programs.
  • Responsible for maintaining regulatory requirements and rectifying building, code or fire violations.
  • Oversee implementation of programs to ensure compliance with life safety programs and procedures, evacuation plans, domestic water quality control and water treatment programs, and environmental and workplace safety Leads an emergency response program when necessary and appropriate.
  • Recommend and estimate property repairs and improvements for inclusion in the annual operating and capital budgets.
  • Evaluate and recommend building automation, energy management and automatic temperature control.
  • Conduct assessment of physical property, mechanical, electrical, and other building systems as needed or requested.
  • Coordinate & fully communicate with tenant maintenance teams to ensure transparency with maintenance activities of all building equipment.
  • Review, assess and provide recommendations on property.
  • Oversee execution of deferred maintenance and MEP enhancement capital.
  • Oversee tenant-related construction and renovation activities to ensure building integrity, including pre-construction review of drawings with the project management and property management teams.
  • Ensure a high level of customer service is being delivered to the tenants and interactions are handled professionally, ethically and with poise, diplomacy, and courtesy.
  • Utilize and implement technology to engage the operations of the property.
  • Maintain up-to-date records.
  • Assist with due diligence and building evaluations for possible acquisitions or development.
  • Perform other duties as assigned.

Qualifications

  • 5+ years of facilities engineering and operations experience required.
  • Strong technical knowledge of building systems, plumbing, fire life safety, electrical, mechanical, HVAC, etc.
  • Knowledge and understanding of all applicable practices and techniques, laws, project controls and environmental regulations to include safety regulations.
  • Experience with life science, medical office, laboratory buildings, data centers and/or critical infrastructure preferred.
  • NFPA FPPM Certification Preferred.
  • Proficiency in problem-solving, organized, task and detail-oriented, and able to work in a fast-paced environment.

  • Effectively communicate to various stakeholders, including but not limited to engineering teams, property management teams, engineering vendors and senior leadership. 
  • Must be flexible to travel.

The person in this position must be able to:

  • Remain in a stationary position for 75% of the time working on a computer and attending virtual meetings.
  • Occasionally move about the office to access file cabinets, office technology, and attend meetings etc.
  • Constantly operate a computer and other office productivity machinery, such as a printer and presentation displays as well as operate marketing tools to capture photos and video.
  • Move about outside the office to tour properties, including mechanical/electrical spaces and roofs.
  • Occasionally use and manipulate building equipment and tools to alter building operating conditions.
  • Set up for marketing initiatives such as events, photo shoots, property tours, etc. and occasionally lift objects up to 20 lbs.
