Reports to: Property Manager and VP of Real Estate


Role Summary

Rafi Properties is seeking a full-time on-site Assistant Property Manager to support day-to-day upkeep, maintenance, and operational excellence across Rafi’s commercial and residential assets. This role is highly tenant-facing and ideal for someone with property management and/or construction management experience who enjoys problem-solving, coordinating vendors, and keeping buildings running smoothly—while delivering an excellent tenant experience. While we believe in a flexible work schedule at Rafi. However, the expectation is that this role is 100% onsite serving the day to day needs of our assets and tenants.


Key Responsibilities


Building Operations + Preventative Maintenance

  • Support daily property operations ensuring spaces are safe, clean, and well-maintained.
  • Implement and track preventative maintenance programs (HVAC, elevators, fire/life safety, roofs, plumbing, electrical, etc.).
  • Conduct routine inspections of common areas, back-of-house spaces, and building systems; document issues and coordinate resolution.
  • Maintain operational logs, service records, warranties, and equipment inventories.


Work Orders + Service Requests

  • Triage and respond to tenant service requests with urgency and clear communication.
  • Create, assign, and track work orders; follow through to completion and confirm tenant satisfaction.
  • Identify recurring issues and recommend long-term solutions.


Vendor + Contractor Management

  • Coordinate and supervise vendors/contractors for repairs, maintenance, janitorial, landscaping, pest control, and specialty trades.
  • Obtain proposals/bids, review scopes, confirm insurance/COIs, and support vendor onboarding.
  • Monitor vendor performance and quality; ensure work is completed on time, safely, and to spec.


Light Project / Construction Coordination

  • Support small capital projects and tenant improvements (painting, flooring, minor buildouts, repairs, signage, punch lists).
  • Assist with scheduling, site coordination, and progress tracking across multiple active workstreams.
  • Help enforce jobsite expectations (cleanliness, safety, minimizing tenant disruption).


Compliance, Safety + Building Standards

  • Support compliance with fire/life safety requirements, inspections, and documentation.
  • Assist with incident reporting and follow-up; help maintain safe pathways and accessible common areas.
  • Ensure building standards are met across common areas and exterior conditions.

Administrative + Budget Support

  • Assist with tracking operating expenses, vendor invoices, and cost coding for building operations.
  • Support monthly reporting on work orders, preventative maintenance completion, vendor performance, and recurring issues.
  • Help maintain property binders, digital files, and SOPs.


Qualifications

  • 2–5+ years of experience in property management, facilities management, construction management, or building operations (commercial/industrial preferred).
  • Experience working for a property management company, real estate owner/operator, or developer strongly preferred.
  • Working knowledge of building systems (HVAC, plumbing, electrical, fire/life safety); comfortable coordinating multiple trades.
  • Strong organizational skills and ability to manage multiple priorities in a fast-paced environment.
  • Clear, professional communication with tenants, vendors, and internal stakeholders.
  • Proficiency with work-order systems and basic tools (Google Workspace/Microsoft Office); Yardi, Building Engines, or similar a plus.
  • Ability to walk properties, lift up to ~50 lbs as needed, and occasionally respond to urgent issues after hours (as scheduled).
  • Valid driver’s license preferred.
