We're looking for an organized, detail-oriented team player who can support every side of the property — administrative, financial, leasing, and resident service — while helping the Property Manager keep things running smoothly.

What You'll Do:

Supervisory Responsibilities:

● Provide day-to-day guidance and support to leasing staff, maintenance technicians, and/or temporary employees as assigned.

● Support the Property Manager in mentoring and coaching junior team members.

● Serve as a point of contact in the absence of the Property Manager for routine operational matters.

Duties & Responsibilities:

● Assist with the preparation of reports, correspondence, and other administrative documents.

● Maintain accurate resident files and property records.

● Coordinate and schedule property inspections, maintenance activities, and vendor appointments.

● Ensure professional and proactive communication with vendors and rental assistance agencies.

● Assist with rent collection and delinquency management efforts.

● Process invoices and vendor payments accurately and in a timely manner.

● Assist with monthly reconciliation of accounts and financial reporting.

● Respond to resident inquiries and complaints promptly and professionally.

● Assist with resident move-in and move-out procedures.

● Organize and participate in resident events and community-building activities.

● Receive and process resident maintenance requests, dispatching work orders to appropriate personnel.

● Follow up on completed work orders to ensure resident satisfaction.

● Conduct routine property inspections to identify maintenance needs and safety hazards.

● Assist with property marketing and advertising efforts.

● Conduct property tours and answer leasing inquiries from prospective residents.

● Prepare lease agreements and related documentation.

● Assist with ensuring compliance with all applicable laws, regulations, and VPG Management policies.

● Maintain accurate records of property inspections, maintenance activities, and compliance documentation.

● Assist with the preparation and submission of required regulatory reports, including ensuring compliance with Low-Income Housing Tax Credit (LIHTC) regulations where applicable.

● Assist in coordinating team meetings and training sessions to ensure all team members are informed and aligned with property goals.

● Facilitate communication between departments to ensure seamless operations.

● Perform other duties and special projects as assigned.

Requirements:

● Strong customer service and interpersonal communication skills.

● High attention to detail and organizational accuracy.

● Ability to manage multiple priorities in a fast-paced environment.

● Working knowledge of property management operations, leasing, and resident relations.

● Proficiency with property management software and Microsoft Office applications.

● Strong written and verbal communication skills.

Preferred Experience:

● High school diploma or equivalent required; Associate's or Bachelor's degree preferred.

● Prior experience in property management, leasing, administration, or customer service required.

● LIHTC or affordable housing experience preferred, or willingness to obtain training.
