Job description

The Assistant Property Manager plays a key role in supporting the Property Manager with the day-to-day operations of residential properties. This position contributes to maintaining high standards across the portfolio by assisting with property maintenance, financial management, and administrative functions, ensuring properties remain well-maintained, efficient, and financially successful.

Property Management:

  • Assist with scheduling and overseeing maintenance and repairs to ensure properties are well-maintained upon approval from the Property Manager.
  • Respond to tenant inquiries in a timely manner.
  • Conduct regular property inspections to identify and address maintenance issues.
  • Coordinate with vendors and contractors to ensure timely and quality work.
  • Complete vacant unit inspections.
  • Maintain accurate records of maintenance activities and ensure compliance with safety regulations.
  • Interact with Building Managers in a professional manner to resolve problems.

Financial Management:

  • Assist in preparing and managing property budgets.
  • Obtain quotes and complete analysis.
  • Collect rent, other fees, and ensure timely and accurate processing of payments.
  • Assist in obtaining quotes as part of the tender process.

Administrative Duties:

  • Maintain organized and up-to-date property files and records.
  • Prepare lease agreements, notices, and other property-related documents.
  • Assist with marketing and advertising efforts to attract new tenants.
  • Support the Property Manager in various administrative tasks as needed.
  • Help with developing and implementing Standard Operating Procedures.
  • Ensure tenant satisfaction and retention through effective communication and problem resolution.
  • Special projects as assigned.

Compliance and Safety:

  • Ensure compliance with all local, Provincial, and federal regulations related to property management.
  • Implement and enforce property policies and procedures.
  • Promote a safe and healthy environment for tenants and staff.
  • Report incidents and resolutions to the Property Manager.

Additional Duties:

  • Other duties as assigned

Requirements

  • 2–5 years of experience in property management, real estate, or a related field (residential experience preferred)
  • Strong customer service and communication skills, with experience handling tenant inquiries and resolving issues
  • Organized and detail-oriented, with the ability to manage multiple priorities independently
  • Experience with budgeting support, rent collection, and lease administration
  • Familiarity with property management software such as Yardi (asset) and Microsoft Excel
  • Knowledge of landlord-tenant legislation and property management regulations is an asset
  • Ability to work with vendors and contractors and support day-to-day building operations
  • Proactive, reliable, and able to exercise sound judgment while handling confidential information
  • Flexible and available to support the Property Manager as needed, including occasional on-call duties for emergencies
