Job description

Seeking an organized and professional Property Management Administrative Assistant's with a background in Residential and or Commercial property management.
Schedule:
• Monday–Friday
• 8:30 AM–5:00 PM
Key Responsibilities:
•Provide day-to-day administrative support to the property management team.
• Answer phone calls, greet visitors, and sort mail.
•Assist with tenant communications, inquiries, and follow-up.
•Maintain accurate and up-to-date property and tenant records databases and property management software.
•Coordinate appointments, meetings, and property-related activities.
•Prepare correspondence, reports, and other documentation.
•Communicate and coordinate with vendors regarding services, maintenance and scheduling.
• File invoices, track office supplies, and manage calendars.
• Prepare routine management, board, or financial reports.
• Support general office operations and assist with additional administrative duties as needed.
Residential Specific Duties:
• Process residential rental applications, background checks, and lease renewal's.
• Post rent collections, issue late notices, and log receipts.
• Coordinate move-in and move-out property inspections.
• Handle resident service requests and community rule inquiries.
Commercial Specific Duties:
• Assist with commercial lease administration, abstracting, and tracking critical dates (e.g., escalations, expirations).
• Help track complex common area maintenance (CAM) reconciliations and tenant bill-backs.
• Coordinate vendor service agreements for large-scale building operations (security, HVAC, janitorial).
• Communicate with business tenants regarding building rules, parking allocations, and certificate of insurance (COI) compliance.
