Position Summary

The Property Operations & Guest Experience Coordinator plays a critical role in ensuring Royall Stays properties are inspection-ready, guest-ready, and operationally excellent. This role blends property inspections, task management, software proficiency, guest communication, and interdepartmental coordination.

You will work closely with Operations, Reservations, Housekeeping, and Property Management teams to uphold company standards and deliver a five-star experience.


Key Responsibilities

Office & Team Integration

  • Learn office procedures, key management, and lock-up protocols
  • Navigate internal resources including HelpDesk and Slack channels
  • Collaborate across departments (Operations, Reservations, STR, Individual, etc.)
  • Participate in property walkthroughs and field training

Software & Systems Proficiency

You will be trained and expected to become proficient in:

Property Management & Task Systems

  • Feather
    • Search and manage listings, reservations, and guest information
    • Create, assign, and track tasks
    • Manage inspection and housekeeping workflows
    • Utilize inventory and expense tracking
    • Understand multi-calendar views and reservation color codes
    • Attach tasks to reservations for accountability
    • Process insurance claims, work orders, and guest complaints

Communication Tools

  • Vonage
    • Manage guest and owner communication
    • Use department-specific lines correctly
    • Label and tag guests appropriately
    • Maintain proper call/text etiquette
    • Coordinate across multiple active lines
  • Slack
    • Communicate in relevant channels
    • Follow internal etiquette standards
    • Use mentions appropriately (@team, @houskeeping, etc.)
    • Maintain thread discipline and clear handoffs
    • Pin and save important threads
  • Outlook
    • Manage inbox communication
    • Utilize filters and shared inbox processes
    • Connect integrations including LastPass


Inspections & Property Standards

  • Conduct detailed property inspections using company checklist
  • Complete inspection tasks in the field via Feather
  • Differentiate between:
    • Flip inspections
    • Pre-arrival inspections
    • Get-ahead tasks
  • Coordinate with housekeeping and vendors
  • Identify and document maintenance issues
  • Upload photos and create tasks as needed
  • Complete 7+ inspections during training phase
  • Close out shifts and reassign incomplete tasks appropriately

Reservations & Calendar Management

  • Navigate reservation details including:
    • Guest contact information
    • Arrival and departure times
    • Source platform and listing links
    • Payment status
  • Understand multi-unit calendar rules
  • Review:
    • Check-ins
    • Check-outs
    • Recently booked
    • Cancellations
    • Reviews
    • Awaiting payments
  • Identify and manage potential reservation issues (“killing hooks”)

Expense & Inventory Management

  • Use AMX for property expenses
  • Submit expenses via Feather task system
  • Distinguish between:
    • Add new item vs. inventory item
    • Chargeable vs. non-chargeable items
  • Determine responsible payer:
    • Guest
    • Owner
    • Management
    • Insurance claim
  • Follow AMX company policies

Field Equipment & Tools

Maintain and utilize inspection and operations tools including:

  • iPad with protective case
  • Cleaning and spot treatment supplies
  • Electrical tester
  • AC temperature gun
  • Basic tool kit (110+ pieces)
  • Batteries (AA, AAA, 9V)
  • Property signage materials
  • Concierge materials
  • Small appliances and backup supplies

Performance Expectations

By the end of training, you will be able to:

  • Conduct independent inspections
  • Create and assign accurate, detailed tasks
  • Communicate professionally with guests, owners, and internal teams
  • Manage same-day operational priorities via Hot Sheet
  • Properly escalate issues
  • Complete guided and independent inspection days
  • Maintain accountability through task completion and documentation
