BIG PICTURE:

Changing Lives Productions is rolling out a new Inventory and Dispatch Management application built to centralize tracking across props, wardrobe, set decoration, and production gear. We are looking for a hands-on Inventory Systems Consultant to operationalize this system on the ground, set up the physical inventory, define the day-to-day workflow, help configure the app to match it, and train the existing team to run and maintain it.

This is a short-term, deliverables-based engagement. Success is measured by a clean handover: a working inventory operation, a trained team, and documented processes. Strong performers will have the option to convert into a long-term role.


WHY THIS ROLE MATTERS:

Inventory accuracy directly affects production speed, budget, and asset accountability. A well-run inventory system means faster set-ups, fewer reorders, and a clear chain of custody for every prop, wardrobe piece, and equipment item moving through our productions. This role builds that foundation and hands it off in working condition.


HOW YOU'LL SPEND YOUR TIME:

  • Learn the existing inventory management approach, the current app and tools, and how the team operates day to day; document observations and recommend upgrades, changes, or workflow simplifications.
  • Audit and catalog the full physical inventory across props, wardrobe, set decoration, and production gear into the new app.
  • Define and implement the end-to-end check-in and check-out workflow, including sign-off rules for any item ordered or removed.
  • Implement the process on the ground within the team and ensure it is followed in day-to-day operations.
  • Help configure the app (categories, locations, statuses, tags, user roles, automations) to match the live workflow.
  • Work with the Tech and Automations department to configure or adjust the app where required.
  • Run the inventory operation in live production conditions and iterate as you learn what works on set.
  • Build the audit and reporting cadence and put loss-prevention controls in place.
  • Train team members on the system, workflow, and SOPs; shadow them through real cycles.
  • Produce SOPs, training materials, and a handover packet so the operation runs without you.


WHAT YOU HAVE:

  • A minimum of 3 years working in inventory or asset-management operations within film, video production, content studios, warehouse, retail ops, or events.
  • Demonstrated experience setting up an inventory system from scratch, not just maintaining one.
  • Comfort with inventory software such as Sortly, Asset Panda, Snipe-IT, or Odoo Inventory, with the ability to ramp on a new in-house app quickly.
  • Strong organizational instincts around labeling systems, naming conventions, and location logic.
  • Experience training non-technical users and writing SOPs.
  • Familiarity with workflow tools such as Monday.com, Slack, Make.com, or Zapier (nice to have).
  • Loss-prevention or internal audit experience (nice to have).
  • Barcode and QR labeling and scanner workflow setup experience (nice to have).


WHO OVERSEES YOU:

The Inventory Systems Consultant will report directly to the Pre-Production Senior Manager, in coordination with the Systems and Automation team.

Currently, the Inventory Systems Consultant has no direct reports but will work alongside and train existing inventory and cross-functional team members.


WHERE IT ALL GOES DOWN:

All the action takes place at our BRAND NEW studio in Burbank, CA. This is a hands-on, in-person role.


WHEN THE MAGIC HAPPENS:

Initial engagement is scoped to deliverables across approximately 8 to 11 weeks. Specific schedule and weekly hours will be discussed during the interview. Convertible to a long-term role after successful handover.
