Job description

Indeck Power, the largest single-source provider of steam power and hot water solutions, is seeking a full time Executive/Personal Assistant to support the President/CEO.  This is a full time, in-office position based out of the Wheeling, IL Office.

Position Summary:
Provide Administrative and Personal Support to the President/CEO.  Must have excellent problem solving skills, high attention to detail and great at prioritizing deadlines and tasks as this is busy role.

Essential Duties and Responsibilities:
  • Answer and screen telephone calls and arrange conference calls.
  • Maintain calendar, deadlines and schedule for executive.
  • Prepare outgoing mail and correspondence, including email, FedEx and faxes.
  • Provide additional personal support as needed.
  • Arrange and coordinate travel schedules and reservations.
  • Office/personal related errands.
  • Coordinate and arrange meetings, guest luncheons, and presentations.
  • Greet scheduled visitors.
  • Draft routine correspondence and maintain necessary files of all correspondence.
  • Back up receptionist duties.
  • Back up assistance in preparation of sales/rental quotes.
  • May be required to perform other duties as requested, directed or assigned.

Education and Experience:
  • Business school, Associate’s degree or equivalent is required.
  • 3-5+ years experience as an Executive/Personal Assistant.

Job Knowledge, Skills and Abilities:
  • Must be proficient in MS Word, Excel, Outlook and the Internet. Power Point a plus.
  • Excellent verbal and written communication skills required.
  • A professional appearance and telephone manner is essential.
  • Must have good command of the English language, oral and written.
  • Must be detail oriented and ability to proof-read.
  • High degree of integrity and the ability to recognize the requirements of confidentiality.
  • Excellent organizational, time management, analytical and problem-solving skills.
  • Highly flexible and adaptable to constantly changing priorities.
  • Excellent interpersonal skills – possess a positive mental attitude.
  • Must be able to type 60-75 wpm.
