Arts Promotions Specialist - Part-time
Job Overview
Reporting to the Manager of Arts Events & Operations, the Arts Promotions Specialist plays a key role in promoting artistic and performance events that enhance the public profile of Wheaton College's Conservatory of Music and Arts Division. This position supports public engagement efforts by working closely with divisional partners to increase visibility for performances and public-facing programs. The role ensures that all marketing and promotional activities align with Wheaton College's brand standards and engagement policies, in coordination with the Marketing and Communications department. This is a part-time position (0.55 FTE), totaling 1,140 annual hours, averaging 24 hours per week over 11 months, and pays $27-$30 per hour. The position offers a hybrid work arrangement, combining in-person and remote work.
Duties and Responsibilities
Event Promotions and Publicity
  • Oversee the internal and external promotion and advertising of performances, tours, recitals, and other events for the Conservatory of Music, Artist Series, Community School of the Arts, Arena Theater, and Art Department.
  • Supervise the development and distribution of all print and digital marketing materials for divisional events, including copywriting, design coordination, and production.
  • Manage and maintain arts-related website content, ensuring that event details, images, and video assets remain accurate, current, and engaging.
  • Develop, implement, and manage email and SMS marketing campaigns for arts events using Dotdigital and the Spektrix CRM and ticketing platforms.
  • Oversee all arts-related social media accounts, ensuring consistent messaging and engagement across platforms.
  • Collaborate with Enrollment Marketing on prospective student recruitment campaigns.

Team Leadership and Oversight
  • Manage the Arts Media Team, a group of student staff responsible for creating and curating content that showcases the Arts at Wheaton to alumni and the broader public.
  • Supervise ensemble publicity managers, providing guidance and ensuring alignment with overall marketing strategies.
  • Provide leadership, mentorship, and training to student teams, fostering a collaborative, creative, and professional working environment.
  • Oversee and manage budgets for all marketing and promotional activities related to arts programming.

Professional Qualifications
  • 3-5 years of experience leading successful promotions initiatives in areas such as recruitment, brand development, or event promotion.
  • Strategic and creative thinker with excellent project management, communication, and strong writing skills.
  • BA in Marketing, Business, Communications, or a related field preferred.
  • Experience in the arts or higher education preferred.
  • Strong interpersonal abilities for collaboration and group facilitation.
  • Experience with CRM systems, digital and social media marketing, and analytics.
  • Proficiency in Microsoft Office 365; familiarity with Asana, Spektrix, Squiz.
