Project Coordinator 3
Position Overview
We are seeking a highly organized and proactive Project Coordinator 3 to oversee the end-to-end campaign creation and launch process within Sales Operations. This role will serve as the central coordinator across Marketing, Marketing Operations, Data Science, Lead Repository Engineering, and Sales to ensure campaign requests progress efficiently from initial intake through launch and handoff to the sales team.
The ideal candidate is a strong project coordinator who can manage multiple workstreams, maintain timelines and SLAs, identify and resolve blockers, and drive accountability across teams without direct authority. Campaign or sales operations experience is helpful but not required for the right candidate.
Key Responsibilities
Campaign Intake & Coordination
  1. Manage the centralized campaign intake process and monitor incoming requests in Smartsheet.
  2. Review requests for completeness and ensure required information is available before work begins.
  3. Coordinate with participating teams to clarify requirements, resolve questions, and keep campaigns moving.
  4. Maintain visibility into all active campaign requests, timelines, dependencies, and next steps.

End-to-End Campaign Execution
  1. Oversee campaign requests from initial submission through implementation and sales handoff.
  2. Coordinate the activities of approximately six cross-functional teams involved in the campaign lifecycle.
  3. Partner with Marketing to ensure campaign messaging and requirements are available.
  4. Coordinate with Data Science on list sizing and data preparation.
  5. Partner with Lead Repository Engineering and other technical teams to ensure data is loaded and campaigns are ready in Salesforce.
  6. Monitor progress against established launch timelines and help ensure campaigns are completed within the applicable SLA, typically five days.
  7. Proactively identify delays, follow up with owners, and escalate issues when necessary.

Quality Assurance
  1. Perform coordination-level quality checks to ensure campaign requirements and setup are complete and accurate.
  2. Verify that campaign templates, cadences, configurations, and other required elements are properly established before launch.
  3. Review campaign information and data for completeness and accuracy.
  4. Ensure required privacy and compliance considerations are addressed by the appropriate teams.

Operating Cadence & Stakeholder Management
  1. Participate in and help facilitate daily standups with the Lead Repository Engineering team.
  2. Represent Sales Operations in relevant cross-functional working sessions.
  3. Maintain accurate project trackers and ensure status information is current.
  4. Act as the primary liaison connecting Marketing, Data Science, Engineering, and Sales throughout the campaign lifecycle.
  5. Communicate status, risks, dependencies, and blockers clearly to stakeholders.

Required Qualifications
  1. 3-5+ years of experience in project coordination, program coordination, Sales Operations, Marketing Operations, or a related field.
  2. Demonstrated ability to coordinate complex, cross-functional processes involving multiple teams.
  3. Strong organizational skills with the ability to manage multiple concurrent requests and competing priorities.
  4. Proven ability to follow up persistently, manage dependencies, and drive work to completion without direct authority.
  5. Strong written and verbal communication skills.
  6. Strong attention to detail and demonstrated ability to perform quality checks.
  7. Proficiency with spreadsheets and project/work tracking tools.

Preferred Qualifications
  1. Experience coordinating sales, marketing, campaign, or lead-management processes.
  2. Familiarity with Salesforce, particularly campaigns, leads, or related workflows.
  3. Experience with Smartsheet or similar project/work management platforms.
  4. Experience working with Marketing, Data Science, Engineering, and/or Sales teams.
  5. Experience managing work against defined SLAs or launch deadlines.
  6. Experience documenting processes, maintaining playbooks, or developing standardized workflows.

Work Arrangement

Role Profile
This is primarily a cross-functional coordination and project oversight role, rather than a campaign-content or hands-on data-production position. The coordinator will not be responsible for writing campaign communications or independently performing every campaign activity. Instead, they will ensure the right teams complete their respective responsibilities, that dependencies are resolved, quality requirements are met, and campaigns reach the sales team on time.
Candidates with strong project coordination experience should be considered even without direct marketing or campaign experience, provided they can demonstrate the ability to successfully coordinate complex projects across multiple stakeholders.
