Job description

Audubon is currently seeking a Operations Project Coordinator to join our team. The Operations Project Coordinator supports Project Managers by facilitating project reporting, administrative processes, and coordination between project teams and Shared Services functions. This role serves as a central point of contact for project related activities involving Billing, Project Controls, Accounting, Project Action, Procurement, and other support groups.

The Project Operations Coordinator provides Project Managers with administrative support that contributes to successful project execution and financial performance.

PRIMARY RESPONSIBILITIES:

  • Support Project Managers with project setup, reporting, and administrative activities throughout the project lifecycle.
  • Coordinate with Shared Services departments including Billing, Project Controls, Project Accounting, Project Action, Procurement, and Human Resources to facilitate project execution.
  • Assist Project Managers with monitoring project budgets, labor utilization, invoicing status, accounts receivable, and project forecasts.
  • Track project deliverables, milestones, action items, and client reporting requirements.
  • Facilitate project initiation, project closeout, and other internal project processes.
  • Assist with invoice review and coordination between project teams and billing personnel to support timelyinvoicingand collections.
  • Monitor project data for accuracy and completeness and assist in resolving discrepancies.

EXPERIENCE AND SKILL REQUIREMENTS:

Required Experience & Education

  • 5+years of experience in project coordination, project administration, operations support, project accounting, project controls support, or related business functions.Bachelor's degree in engineering, Construction Management, Business, Finance, or related field (or equivalent experience)
  • Bachelor's degree in Business Administration, Finance, Project Management, Construction Management, Engineering, or related field preferred. Equivalent experience may be considered.
  • Experience supportingO&G field servicesprojects preferred.
  • Familiarity with project financials, invoicing processes, reporting, and project lifecycle management.

Technical Skills

  • Advanced Microsoft Excel skillsincludingformulas, pivot tables, lookups, and data analysis.
  • Experience working with ERP systems and project management software.
  • Working knowledge of project budgeting, forecasting, invoicing, and resource tracking concepts.
  • Strong data management and organizational skills.
  • Familiarity with project cost reports and financial tracking
  • Ability to work with large datasets and maintain accuracy
