Job Summary

New England Mechanical Services, Inc. is seeking a part-time Administrative Assistant to work on-site to support Assistant Project Manager for the Construction Division. This is 2 days a week (16 hours) with flexibility on the week schedule.

Essential Duties & Responsibilities
  • Obtain and enter Opportunities for Project Managers into Dynamics Sales System and upkeep Logs
  • Printing and organizing IOM Manuals for distribution to customers
  • Assist w/ project close-outs
  • Print and consolidate Project Binders for field upon start of projects
  • Assign Job #s / PO#s as requested
  • Coordinate and distribute Weekly Construction Job List
  • Utilize COINS Accounting System as needed
  • Create Valve Tag Charts for field application
  • Issue Short PO's as needed and process PO Supplements
  • Process Check Requests
  • Update Warranty database and IOMM Storage folders for completed projects
  • Order Mechanical Identification as requested
  • Filing and printing as needed
  • Other related duties as required
Qualifications
  • High school diploma or general education degree (GED). Additional college or certification is preferred.
  • Previous construction experience/environment preferred
  • Must be proficient with Windows 11 i.e. Excel, Word, and Outlook
  • Must have at minimum intermediate Adobe skills
  • Must be organized
  • Must be comfortable multi-tasking
  • Must be able to work well under pressure
  • Must be comfortable meeting last-minute deadlines
  • Excellent verbal and written communication skills
Physical Demands

This office-based role requires sitting most of the time, occasional movement, basic physical tasks, standard vision abilities, and use of office equipment like a computer and phone.
