Position: Assistant Project Manager


Position Overview

Vantage Builders is seeking a driven, organized, and detail-oriented Assistant Project Manager (APM) to support the successful planning, execution, and delivery of commercial construction projects throughout New England.


The Assistant Project Manager works closely with Project Managers, Superintendents, subcontractors, design teams, and clients to ensure projects are delivered safely, on schedule, within budget, and to the highest quality standards. This role is designed as a key developmental position for future Project Managers and provides exposure to all phases of construction, from preconstruction through closeout.


The ideal candidate is proactive, collaborative, technically proficient, and eager to build a long-term career in commercial construction project management.

Key Responsibilities

Project Administration & Coordination

  • Support Project Managers in all phases of project planning, execution, and closeout.
  • Maintain project documentation, logs, reports, and communication records.
  • Assist in managing project correspondence, RFIs, submittals, change orders, procurement tracking, and closeout documentation.
  • Ensure project information is current, organized, and accessible to all team members.
  • Participate in project planning sessions and coordination meetings.


Procurement & Subcontractor Management

  • Assist with subcontractor buyout, contract administration, and procurement activities.
  • Coordinate material procurement, equipment deliveries, and long-lead item tracking.
  • Monitor subcontractor compliance requirements including insurance certificates, contracts, safety documentation, and closeout requirements.
  • Communicate regularly with subcontractors and suppliers to support project execution.


Financial Management Support

  • Assist Project Managers with budget tracking, cost reporting, forecasting, and change management.
  • Review subcontractor invoices and assist in preparing monthly owner billings.
  • Track potential change orders and assist in developing pricing and supporting documentation.
  • Monitor project financial performance and identify areas requiring management attention.
  • Support monthly project reviews and forecasting efforts.


Project Execution & Field Support

  • Collaborate closely with Project Managers and Superintendents to support field operations.
  • Participate in project site visits and progress meetings.
  • Assist with project scheduling, milestone tracking, and coordination of project activities.
  • Support resolution of field issues, design clarifications, and subcontractor coordination challenges.
  • Serve as a liaison between office and field teams to ensure effective communication and project alignment.


Client & Team Coordination

  • Participate in meetings with owners, architects, engineers, landlords, and consultants.
  • Prepare meeting agendas, minutes, and follow-up action items.
  • Help maintain strong relationships with clients and project stakeholders through professional communication and responsiveness.
  • Assist in managing client expectations and supporting an exceptional project experience.

Project Closeout

  • Coordinate punch list completion and project closeout activities.
  • Collect and organize operation and maintenance manuals, warranties, as-built documentation, and training materials.
  • Assist in obtaining final inspections, permits, and occupancy approvals.
  • Support warranty management and post-occupancy client service activities.


Technology & Process Management

  • Utilize Procore and other project management platforms to maintain project records and workflows.
  • Support implementation of company best practices, procedures, and quality standards.
  • Contribute to continuous improvement initiatives focused on project delivery, technology adoption, and operational efficiency.


Qualifications

Required Qualifications

  • Bachelor's Degree in Construction Management, Engineering, Architecture, or related field preferred.
  • 2–5 years of commercial construction experience as a Project Engineer, Assistant Project Manager, or related role.
  • Strong understanding of construction documents, specifications, contracts, and project delivery methods.
  • Ability to read and interpret architectural, structural, MEP, and civil drawings.
  • Proficiency with Microsoft Office Suite, particularly Excel.
  • Experience with Procore or equivalent construction management software.
  • Excellent organizational, communication, and problem-solving skills.
  • Strong attention to detail and ability to manage multiple priorities simultaneously.


Preferred Qualifications

  • OSHA 30 Certification.
  • Experience in commercial interiors, healthcare, life sciences, retail, institutional, or occupied renovation projects.
  • Experience supporting projects ranging from $500K to $20M+.
  • Understanding of project accounting, contract administration, and cost control principles.
