Job description

ABOUT THIS POSITION
The Project Coordinator supports the successful execution of Corporate Digital Assets (CDA) projects by coordinating schedules, tracking activities, and maintaining organized project documentation.
This role partners closely with Business Analysts, technical teams, and other stakeholders to keep work clear, current, and moving forward.
The Project Coordinator helps ensure details are organized, communications are clear, and project activities remain on track. The Project Coordinator may also support other initiatives across the broader Information Systems & Infrastructure Operations portfolio as business needs require.
This role is designed for an organized, detail-oriented, and proactive individual building foundational project delivery skills.
WHAT YOU'LL DO
Project Administration & Coordination
  • Support project planning by maintaining schedules, timelines, deliverables, and project trackers.

  • Assist with coordinating tasks, follow-ups, and documentation across active project workstreams.

  • Track action items, owners, due dates, and completion status to support timely execution.

  • Keep project artifacts organized, current, and accessible to appropriate project team members.

  • Support broader IS Ops portfolio work when assigned, using the same coordination discipline.

Meeting & Communication Support
  • Schedule project meetings, working sessions, and stakeholder check-ins.

  • Prepare agendas, collect inputs, and ensure meeting materials are ready before discussions.

  • Capture concise notes, key decisions, action items, owners, and next steps during meetings.

  • Distribute meeting summaries and follow up on commitments to help maintain project momentum.

  • Communicate updates professionally and clearly across business and technical audiences.

Tracking, Reporting & Documentation
  • Update artifacts such as project plans, status reports, decision logs, risk logs, and dependency trackers.

  • Assist with preparing project status updates for stakeholders, leaders, and delivery teams.

  • Monitor approaching deadlines and identify overdue items requiring follow-up or escalation.

  • Maintain accurate records that support delivery transparency, accountability, and continuity.

  • Help ensure project documentation reflects current scope, timing, status, and next steps.

Risk, Issue, & Dependency Coordination
  • Identify potential blockers, open questions, or missing information and raise them promptly.

  • Support tracking of project risks, issues, decisions, and cross-team dependencies.
