Overview

The Service Coordinator is responsible for scheduling and dispatching service calls, coordinating technician workloads, maintaining accurate service records, and providing administrative support for the service department. This role serves as a key point of contact for customers, technicians, and vendors, ensuring timely communication, efficient job execution, and exceptional customer service. The Service Coordinator also assists with maintenance contract administration, invoice processing, and customer account support.

Responsibilities
  • Monitors technician time tracking on a weekly basis, including obtaining supervisor approval or other documentation for any timesheet discrepancies as well as timely submission to Payroll processor.
  • Assists in new hire onboarding process and processing of IT hardware & permissions requests as necessary.
  • Assists in coding and approvals of vendor invoices.
  • Opens and tracks purchase order requests.
  • Collection of associated documentation for processing customer and vendor system set-up
  • Dispatching/routing multiple service technicians.
  • Verifying job completion and accuracy of technician notes.
  • Inbound/outbound phone calls.
  • Scheduling service repairs and routine maintenance visits.
  • Processes and issues monthly maintenance invoices.
  • Makes collection calls for past-due invoices on a weekly basis.
  • Provides outstanding customer service to our customers.
