As a project coordinator, you are responsible for ensuring that your project is moving forward smoothly and on time. You may work alongside a project manager, who is in charge of the execution of the project overall; in this case, your job is primarily focused on clear communication and ensuring everyone on the team understands their roles and expectations. You try to foresee issues and communicate them to the project manager as part of your regular updates on the project’s progress.

What are the key skills and qualifications needed to thrive as a project coordinator, and why are they important?

To thrive as a Project Coordinator, you need strong organizational skills, attention to detail, and a background in project management, often supported by a bachelor’s degree in business or a related field. Familiarity with project management software such as Microsoft Project, Asana, or Trello, and sometimes certification like CAPM, is typically required. Excellent communication, problem-solving, and teamwork skills help you coordinate effectively with stakeholders and manage competing priorities. These abilities are crucial for ensuring projects stay on schedule, resources are used efficiently, and team collaboration leads to successful project outcomes.

How does a project coordinator typically interact with different departments during a project's lifecycle?

Project Coordinators play a central role in facilitating communication and collaboration between various departments, such as marketing, finance, and operations. They organize meetings, ensure that all stakeholders are aligned on project goals, and help manage timelines and deliverables across teams. This cross-departmental collaboration is key to successful project execution and offers valuable exposure to different business functions.

Job description

About AVIBE

AVIBE is a Portland-based web solutions firm specializing in custom web applications and user experience design. We work with startups, growing businesses, Fortune 500 companies, and government organizations to build thoughtful, high-quality digital products.

We’re a team of 30 that values collaboration, clarity, and a supportive, low-ego work environment.

About the Role

We’re looking for a Project Coordinator to help keep multiple custom web application projects organized and moving forward. You’ll work closely with Project Managers, developers, designers, and QA to coordinate tasks, track progress, identify issues, and keep projects on schedule and within scope.

What You'll Do

  • Coordinate the day-to-day execution of multiple web application projects.
  • Create and maintain project tickets, schedules, and documentation.
  • Translate requirements into clear tasks for developers, designers, and QA.
  • Track hours, estimates, deadlines, and team capacity.
  • Coordinate task assignments and dependencies.
  • Maintain accurate project information in Smartsheet and other project management tools.
  • Identify delays, blockers, and potential project risks.
  • Follow up with team members to keep work moving.
  • Assist with project estimates, planning, milestones, and releases.
  • Monitor work against approved scope, timelines, and budgets.
  • Provide accurate project status updates to Project Managers.

What We're Looking For

Required

  • 1+ year of experience in software/web development project coordination.
  • Strong organizational and time-management skills.
  • Excellent attention to detail.
  • Ability to manage multiple projects, priorities, and deadlines at the same time.
  • Strong written and verbal communication skills.
  • Ability to follow up consistently and hold people accountable to deadlines.
  • Comfortable working with numbers, estimates, budgets, and hours.
  • Ability to learn technical concepts and understand the basics of how web development projects are delivered.
  • Ability to identify problems and escalate them before they become larger issues.

Preferred

  • Experience in a digital agency, web consultancy, or software company.
  • Experience with Smartsheet, Jira, Asana, or similar project management tools.
  • Experience tracking project budgets, estimates, or resource capacity.

What You'll Receive

  • A fun work environment with a supportive team.
  • Healthy work-life balance.
  • Recognition and acknowledgment for your contributions.
  • Compensation of $65,000–$80,000.
  • Monthly incentive bonus program.
  • Low-deductible health, dental, vision, and life insurance.
  • Generous PTO.
  • Employer-contributed 401(k) after one year.

Additional Information

  • Hybrid role based near Portland, OR (within 50 miles)
  • Background check required prior to hire.

You don’t need to know how to code. You do need to be curious about how software gets built, comfortable working with technical teams, highly organized, and willing to take ownership of the details.

If you enjoy making complicated things more organized, spotting problems before they become emergencies, and helping teams get work across the finish line, this could be a great fit.
