We are seeking a highly organized Project Coordinator with exceptional attention to detail to serve as the operational backbone of our Houston Infrastructure Group. This is a unique opportunity for a detail-oriented, process-driven professional to support project teams and office operations while owning contract administration, compliance, and pay application processing from project initiation through closeout.

Key Responsibilities

  • Provide comprehensive administrative support to project managers, superintendents, and field personnel throughout the project lifecycle
  • Review, draft, and route prime contracts, subcontracts, purchase orders, and amendments for internal approval and execution
  • Prepare, review, and process monthly pay applications, including backup documentation, schedules of values, and owner/subcontractor submissions
  • Maintain organized contract and compliance files, including insurance certificates, bonds, and lien waivers
  • Coordinate the issuance, notarization, and tracking of lien waivers tied to pay applications
  • Monitor subcontractor insurance and bonding compliance, following up to obtain missing or updated documentation
  • Maintain accurate and organized project documentation, including change orders, submittals, RFIs, and meeting minutes
  • Create and manage Procore accounts for new projects, including uploading drawings, specifications, budgets, and maintaining project directories
  • Support new project initiation, including job setup, folder creation, and procurement coordination; assist with closeout including as-builts and warranty compilation
  • Schedule and organize meetings, prepare agendas, and document detailed meeting minutes
  • Manage general office operations for the Houston Infrastructure Group location, including supplies, vendors, and front-office support
  • Maintain positive relationships with clients, vendors, suppliers, and subcontractors, addressing issues promptly and professionally


Ideal Candidate Profile

  • Background working in the construction industry with an understanding of processes and terminology; heavy civil or underground utilities experience a plus
  • Active Notary Public commission in the State of Texas required (or ability to obtain promptly upon hire)
  • Working knowledge of construction contracts, subcontract agreements, lien waivers, and pay application processes
  • Proficient in Microsoft Office Suite, Bluebeam, and Procore or similar project management software
  • Strong organizational skills with the ability to multitask and prioritize effectively in a fast-paced environment
  • Exceptional attention to detail with a commitment to accuracy and thoroughness in documentation
  • Excellent written and verbal communication abilities with professional stakeholder interaction
  • Ability to work independently with minimal supervision while collaborating effectively in a team environment
