We're looking for a Project Coordinator who thrives on organization, communication, and follow-through. You'll serve as a key connection point between clients, engineers, vendors, and project management, ensuring projects stay on track and clients stay informed. 


This role combines project coordination, scheduling, client communication, and occasional service dispatch support. If you're someone who enjoys creating order from complexity, keeping multiple priorities moving, and making sure nothing falls through the cracks, we'd love to meet you. 


What You'll Do 

Project Coordination 

  • Coordinate project activities from kickoff through completion. 
  • Schedule project work, engineer resources, client availability, and vendor timelines. 
  • Verify hardware, licensing, and project dependencies before implementation begins. 
  • Maintain accurate project status, documentation, and timelines in ConnectWise PSA. 
  • Track project milestones and proactively address risks or delays. 

Client Communication 

  • Serve as the primary coordination point of contact for active projects. 
  • Provide proactive updates so clients always know where their projects stand. 
  • Respond to client questions promptly and professionally. 
  • Help manage expectations around timelines, scheduling, and scope changes. 

Scheduling & Dispatch Coordination 

  • Manage scheduling across multiple departments and technical teams. 
  • Monitor and action Scheduling Required, Customer Updated, Waiting, and Past Due tickets throughout the day. 
  • Rearrange engineer calendars and priorities as project needs evolve. 
  • Support Service Dispatch during vacations, coverage gaps, or high-volume periods. 
  • Ensure work continues moving efficiently while balancing client expectations and resource availability. 
  • Meet and maintain established department KPIs and service standards. 

Process & Continuous Improvement 

  • Document and improve project and coordination processes. 
  • Identify opportunities to improve efficiency and client experience. 
  • Participate in team meetings, training, and professional development opportunities. 
  • Help improve service delivery consistency across departments.
