Job Summary: 

You will support the Operations Manager and Project Managers with administrative tasks to ensure the successful execution of assigned projects. This includes time entry and payroll tracking, expense and travel processing, HR and onboarding support, and general office and procurement coordination. You will also help maintain compliance and licensing records and support safety-meeting and training coordination. Strong communication, organizational, and time-management skills are essential, along with the ability to manage multiple priorities in a fast-paced construction environment.

Essential Duties and Responsibilities

  • Expense & Payment Processing- Submit expense reports, process per diem and check requests, approve fuel invoices, and manage temp time entry in coordination with corporate payroll.
  • Project Coordination & Administration - Support project setup, execution, billing, and tracking; coordinate internal and external meetings; and manage the flow of project information across the team.
  • Procurement & Inventory - Order office and job-site supplies, PPE, fuel, ice, and water; track and reorder consumable materials; and receive, log, and transfer materials as needed.
  • HR & Onboarding Support - Assist with new hire onboarding, including I-9 collection, LINX and ADP enrollment setup, on-site orientations, GC screenings, and coordination with corporate HR. Process leave requests and maintain time-off tracking.
  • Compliance & Safety Coordination - Apply for city and state licenses, process DCAT requests and renewals, and track expiration dates. Coordinate OSHA training certifications and MSFT Day 2 Safety credentialing, and organize recurring safety meetings.
  • Travel Coordination - Process flight, hotel, and Airbnb bookings and track travel arrangements; assist employees with travel-related needs and resolve issues as they arise.
  • Fleet & Vehicle Support - Track vehicle maintenance reminders and submit vehicle inspection reports.
  • General Administrative Support - Reserve training rooms, order food for meetings and events, draft correspondence, and create labels and signage for installations and job-site use.

Minimum Requirements

  • Two-year degree or equivalent work experience
  • Excellent organizational, written, and verbal communication skills
  • Strong communication and organizational skills in a construction job-site environment
  • Ability to work effectively in a fast-paced environment
  • Comfortable working in a construction job-site/trailer setting
  • Ability to analyze data, identify trends, and make sound recommendations
  • Proficiency in Microsoft Office Suite, with particular strength in Excel for project tracking and reporting
  • Ability to influence others without direct authority
  • Experience coordinating travel and supporting field logistics
  • Ability to assist with cost tracking and basic budget updates
  • Ability to manage document control and distribute updated files to field teams
  • Experience coordinating meetings and maintaining organized project documentation

Preferred Experience

  • Basic working knowledge of construction project management
  • Familiarity with AIA documentation and Schedule of Values support
  • Experience maintaining project records, including submittals, RFIs, and logs

Pay Rate: 

$20.00 - $28.00/hr
