We are currently seeking a dynamic and detail-oriented Project Coordinator to join our elite team. In this role, you will serve as a vital link between our clients, field superintendents, subcontractors, and executive leadership, ensuring our luxury projects run seamlessly.

Position Overview

The Project Coordinator will provide comprehensive administrative, operational, and estimating support for our high-end custom homebuilding division. The ideal candidate possesses a deep understanding of residential construction, exceptional organizational talents, and a passion for luxury design and execution.

Key Responsibilities

Project & Operational Support

  • Daily Office Operations: Manage the day-to-day administrative functions of the office to ensure efficient workflow and communication across all active projects.
  • Documentation Management: Maintain organized project files, contracts, change orders, architectural plans, and specification sheets.
  • Subcontractor & Vendor Coordination: Assist with scheduling, follow-ups, and securing required documentation (e.g., insurance certificates, lien waivers).

Estimating & Financials

  • Estimating Support: Assist the senior team with takeoff calculations, gathering supplier/subcontractor pricing, and preparing preliminary budget estimates.
  • Mathematical Accuracy: Perform precise calculations for material quantities, square footage, measurements, and project budgeting with a high degree of accuracy.
  • Cost Tracking: Help track project expenses, purchase orders, and invoice approvals against established project budgets.

Client Relations & Communication

  • White-Glove Customer Service: Serve as a polite, professional, and responsive point of contact for affluent clients, architects, interior designers, and trade partners.
  • Client Communication: Assist in preparing client progress updates, selection tracking schedules, and meeting coordination.

Qualifications & Skills

  • Experience: Proven experience in residential custom homebuilding or high-end construction management (minimum 2–3 years preferred).
  • Industry Knowledge: Strong, working knowledge of custom residential construction processes, terminology, materials, and phases of building.
  • Mathematical Proficiency: Strong mathematical and analytical skills, with the ability to accurately calculate dimensions, scales, percentages, and basic budgeting figures.
  • Estimating Foundation: Fundamental knowledge of construction estimating and plan reading.
  • Customer Service Excellence: Impeccable interpersonal and communication skills, with a polished demeanor suited for high-end luxury clientele.
  • Technical Savvy: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and construction management software.
