What You'll Do

As the Executive Assistant to the COO, you'll serve as a trusted partner responsible for keeping priorities organized and ensuring day-to-day operations run smoothly.

Responsibilities include:

  • Manage an ever-changing executive calendar, appointments, and priorities.
  • Coordinate domestic travel, accommodations, and itineraries.
  • Organize meetings, prepare agendas, and track follow-up items.
  • Manage email communications and assist with correspondence.
  • Conduct online research and gather information for business initiatives and special projects.
  • Assist with social media scheduling, coordination, and content management.
  • Create and maintain organized systems, processes, and documentation.
  • Prepare reports, presentations, spreadsheets, and business documents.
  • Track projects and ensure deadlines are met.
  • Coordinate with vendors, clients, and internal team members.
  • Handle confidential information with professionalism and discretion.
  • Identify opportunities to improve efficiency and recommend better processes.
  • Anticipate needs and proactively solve problems before they become issues.
  • Manage the COO's ever-changing business and personal calendar, ensuring priorities are aligned and nothing falls through the cracks.
  • Coordinate domestic travel, accommodations, itineraries, and logistics for both business and occasional personal travel.
  • Dedicate up to 30% of your time supporting the COO with personal scheduling, errands, appointments, and other personal assistant responsibilities, allowing them to remain focused on leading and growing the business.
  • Assist with personal appointments, reservations, vendor coordination, gift purchasing, and other confidential personal matters as needed.

  • Outstanding organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Strong proficiency with Microsoft Office and Google Workspace.
